This role will report to and support the Regional Project & Facilities Manager. This role will be based on our Vancouver Support Center Office on 310-1755 West Broadway, Vancouver, BC. The Project Coordinator will help manage and monitor the full cycle of repair projects across Canada and ensure that all targets are met. You will assist in administration support for each project as needed. You will excel at hands-on work, office leadership, and the value of involvement at every level.

Core Responsibilities:

  • Email management, responding to all emails promptly
  • Administering expense reports
  • Create Purchase orders for vendors
  • Applying job codes and general ledgers to invoices for payment
  • Attend project meetings, and your responsibility to take meeting minutes notes for distribution
  • Developing and maintaining strong relationships with the executive team, vendors, consultants, employees, trade partners, and suppliers throughout the project
  • Order and procure materials from local vendors
  • Organize delivery logistics and schedule contractors for sites
  • Performs general administrative and recordkeeping functions, including reviewing and distributing documentation, logs, drawings, specifications, submittals and RFIs.
  • Solicit and search for 3rd party vendors / sub-contractor within remote locations of our Sandman properties.
  • Developing Excel spreadsheets, Gantt charts for schedules, and Outlook task lists.
Requirements:
  • Post-secondary degree or diploma in Business Administration or Management is a strong asset.
  • 2-5 years of project management or a combination of relevant education and work experience
  • Strong verbal and written communication skills
  • Ability to work independently and able to manage time within segments of priority.
  • Multitask and adjust workflow to adapt to the project schedule
  • Advanced computer skills, including an understanding of computer programs such as Microsoft Outlook, Excel, Word and other relevant procurement software
