Project COORDINATOR

Position Description:
The Project Coordinator will support the Projects team (Director of Project Development & Project Manager) and assist with the coordination and management of park and pathway development projects. They will also be responsible for managing legacy projects and be a steward for the Rotary/Mattamy Greenway pathway project.
Roles & Responsibilities:
Project Development Administration
? Provide administrative and project coordination support to the Director of Project Development and Project Manager.
? Assist with all aspects of park development and pathway projects.
? Work collaboratively and support the Project Development team.
? Assist with completing a detailed project plan and monitor progress in all areas: fundraising, planning, approvals, construction period, warranty period, public events and donor recognition.
? Attend regular project and site meetings to capture action items and perform field reviews as needed.
? Maintain and track project budgets through invoices, change orders, and progress payments, preparing agendas, completing meeting minutes, and ensuring that all paper/electronic filing is maintained and complete.
? Support regulatory approvals and construction processes by working directly with The City of Calgary Parks and Open Spaces, landscape architectural consultants and construction contractors.
? Support tendering and procurement processes by preparing Requests for Proposals, evaluation materials, and coordinating interviews.
? Assist with the coordination of consultants and contractors during design and construction phases.
? Maintain good record keeping of approvals, budget, and invoices in accordance with Parks Foundations Retention Policy.
Rotary/Mattamy Greenway and Legacy Projects
? Monitor the status of the Rotary/Mattamy Greenway to ensure that signage and pathway amenities are in acceptable condition. This may involve biking and walking for up to 6 hours per day (several times per month).
? Complete a life cycle/maintenance plan that details work needed on the Rotary/Mattamy Greenway.
? Oversee legacy projects, managing the coordination of repairs and replacement for park features.

Work Hours
? Work hours are typically Monday to Friday, 8:00 am to 4:00 pm with a 30-minute lunch break.
? Projects, workload, or events may necessitate work outside these regular hours on evenings and weekends.
? The place of work for this job is the Parks Foundation office at 225 - 13 Avenue SW, Calgary, Alberta. This position does not work from home.
Compensation and expenses
? $50,000 -$60,000 annual salary range.
? Eligible for health and dental benefits upon completion of a three-month probationary period.
? This position does not include parking at the office.
? Kilometers traveled in the employee?s vehicle from the Parks Foundation office to park sites will be reimbursed at the Canada Revenue Agency standard km rate.
Required Qualifications:
Education
? Post-secondary undergraduate degree in business, landscape architecture, architecture, planning, engineering, project management or related field
Skills and Experience
? 1-3 years minimum experience working in an office setting, ideally working in project coordination.
? Moderate or better skill level with Microsoft Office (Excel, Word, Powerpoint).
? Exceptional organizational skills, ability to multi-task, and prioritize competing tasks to meet tight deadlines.
? Previous experience in project management, design or development consulting, community engagement, construction contract administration is an asset.
? Volunteer or work experience in the non-profit or community sector is an asset.
