We are seeking a Project & Administrative Coordinator to support day-to-day office operations for Can-Traffic's Airdrie division, ensuring projects are well-organized, financial processes are accurate, and administrative tasks are completed efficiently. This role assists with project coordination, billing, accounts receivable, accounts payable, onboarding new employees, and supporting safety compliance requirements. The Coordinator plays a key role in maintaining smooth workflows, accurate documentation, and effective communication across internal teams and external partners.

Responsibilities



Organize and assist with maintaining project schedules, documentation, work orders, and status updates. Prepare project materials, permits, reports, and correspondence. Coordinate communication between offices, field crews, clients, and vendors. Prepare and submit billing packages and progress claims. Track accounts receivable and follow up on outstanding invoices. Process vendor invoices, verify purchase orders, and resolve discrepancies. Support accurate financial coding, documentation, and month-end processes with the Supervisor and Finance team. Assist HR with onboarding and maintain employee records, certifications, and training documentation by collecting paperwork, coordinating orientations, and completing employee files. Provide administrative support for HR-related communication and tasks. Assist Safety by tracking certifications, expiries, and training requirements, maintaining safety files and incident records, supporting safety form submissions, and coordinating with the Safety department to ensure compliance. Answer phones, manage mail, and maintain office supplies and equipment. Assist with timesheet submissions, cost tracking, and basic reporting.

Skills and Abilities



Strong organizational skills to manage multiple tasks and maintain accurate records. Effective verbal and written communication with staff, field crews, clients, and vendors. High attention to detail in documentation, billing, HR files, and safety compliance. Knowledge of accounts receivable, accounts payable, invoicing, and financial reporting. Track safety certifications, maintain safety records, and assist with compliance. Proficiency in MS Office and familiarity with ERP or project management systems. Ability to prioritize tasks, solve problems, and work collaboratively across departments

Qualification



Diploma or certificate in Business Administration, Office Administration, Project Management, or a related field. Minimum of 5 years' experience in administrative support, project coordination, or office operations; experience in construction, electrical, or transportation is an asset. Valid Alberta driver's licence.
