Job Summary


As a key member of our team, the Project Administrator helps ensure the smooth delivery of projects, proposals, and programs that make a real difference for our clients and communities. In this role, you'll bring organization, attention to detail, and a collaborative spirit to support both our technical staff and project partners.

From coordinating proposals and marketing efforts to assisting with incentive programs and client communications, your work will keep projects moving forward and create a positive experience for everyone involved. You'll also have the chance to develop new skills, learn from experienced colleagues, and contribute meaningfully to decarbonizing Canada's building stock.

Responsibilities



Proposal & Marketing Support (50%)

Support proposal development by creating outlines based on RFP requirements, drafting content, proofreading, formatting, and performing quality control checks prior to submission. Maintain and update proposal templates to ensure alignment with RFP requirements. Assist with technical writing and editing of internal documents, reports, and communications. Contribute to marketing efforts, including LinkedIn posts, website updates, and coordinating internal presentation series.
Project & Program Administration (25%)

Track project deliverables, calendars, and internal databases. Set up new projects and manage required documentation. Schedule meetings, prepare agendas, and record meeting minutes. Support billing, event coordination, and travel arrangements as needed.
Technical Program Support (25%)

Coordinate and administer energy incentive programs Communicate with stakeholders (e.g., strata councils, housing co-ops, property managers) to provide program information. Set up technical meetings and coordinate follow-up actions. Assist with data collection, report editing, and basic energy modeling tasks (training provided).

Qualifications



High School Diploma with four (4) years of related experience or demonstrated equivalency of experience and/or education. 2+ years in the building/ construction industry preferred.

Skills and Competencies



Highly motivated self-starter who works independently and thrives in a collaborative team environment. Strong organizational skills with the ability to manage multiple priorities and shifting deadlines. Exceptional attention to detail and accuracy. Excellent written and verbal communication skills, with the ability to convey information clearly to colleagues, clients, and stakeholders. Analytical mindset with strong problem-solving skills and a focus on identifying process improvements. Comfortable working with data and numerically inclined. Proficiency with Microsoft Office 365 and the ability to quickly learn new software. Experience with Deltek, Ajera, or WordPress is considered an asset.
