Junior Project Administrator

to join our dynamic project management team.

Position Overview:



We're seeking a detailed-oriented, motivated, Junior Project Administrator to support our project team, from inception through completion. This role is ideal for someone looking to grow in construction project coordination, scheduling, and office operations in a hands-on, fast paced environment.

Key Responsibilities:



Set up and maintain accurate project files (digital and physical) including contracts, drawings, permits, change orders, schedules, vendor invoices, and correspondence Follow up on action items, collect status updates, and maintain a centralized project dashboard for visibility. Assist with procurement support, including tracking materials, submittals, and vendor communications as required. Cross reference and approve subcontractor invoices, ensuring they are assigned to the correct project. Record weekly team meetings (planning, status updates, blockers) with project team members (estimating, purchasing, site supervision, field staff) and capture action items. Prepare and share progress reports for leadership and stakeholders. Invoice projects, and apply payments. Facilitate internal communication between estimating, purchasing, site supervision, and field staff to ensure alignment on scope, budgets, and timelines.

Qualifications:



Working towards a degree in Business Administration, Construction Administration, Project Management, or related field preferred; equivalent experience considered

OR

1-3 years of administrative or project coordination experience in construction, landscape, pool, or related trades is a plus Strong organizational and time-management skills Excellent written and verbal communication, with professionalism in client interactions Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable with project management software or cloud storage (Google Workspace) Experience with project management tools (Jobber, Monday) is a plus Ability to manage multiple tasks, prioritize, and meet deadlines Basic understanding of construction or landscape processes, permits, and safety considerations is an asset Detail-oriented with a high level of accuracy Reliable, proactive, and able to work independently with minimal supervision. Comfortable on-site for occasional visits Customer-service oriented with a collaborative mindset
