Major Duties and Responsibilities



Office Administration 40%



Provide administrative support to the Director and site teams. Coordinate communication between internal teams, subcontractors, vendors, and clients. Process invoices, purchase orders, and expense reports in accordance with company policies. Prepare reports, presentations, and meeting minutes as needed. Manage office supplies, logistics, and general administrative duties related to projects.

Project Administration 60%



Obtain bid/tender documents and shop drawings. Maintain various project logs such as a bid log (Job log - quoted), a submittal log, an awarded job log, a Change Orders and Work Orders log and a closeout submittal log. Collect product data and Material Safety Data Sheets (MSDS). Prepare and send submittal packages to clients and obtain clients' approval of submittals. Perform data entry associated with estimates and work orders/change orders in Accounting System. Submit a closeout package: extra material, shop drawings, warranty letter.

Education and Expertise Required



The Project Admin position requires that the incumbent have:

Diploma in Construction Management, or related field (preferred). 2+ years of administrative experience in construction or a related industry. Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint). Experience with project management software (e.g., Procore, Smart sheet, or similar) is a plus. Strong organizational and time-management skills. Excellent verbal and written communication abilities, bilingual is an asset. Ability to multitask, prioritize, and work independently. Knowledge of construction documentation and terminology is a plus.
