Summary: Under the supervision of the Service Delivery Manager, the Program Supervisor is responsible for the daily guidance to the Career Development Practitioner and Youth Worker staff and assists with the operation of service delivery throughout the agency. The Program Supervisor plays a critical role in the organization and will have responsibility for scheduling and supervising front line staff and for organizing and coordinating activities involved with service delivery. MAJOR TASKS WILL INCLUDE BUT NOT BE LIMITED TO THE FOLLOWING: \xc2\xb7 Develop reports on a weekly, monthly, or quarterly schedule Daily Responsibilities \xc2\xb7 Retrieve daily attendance call-ins \xc2\xb7 Post in Leadership calendars \xc2\xb7 Utilizing calendars to backfill any scheduled staff duties due to absences \xc2\xb7 Provide coaching, support, supervision, and guidance to staff so they may reach their full potential Weekly Reports: \xc2\xb7 Intake (Case Activity Report) Exits, and Caseloads Monthly Reports and Responsibilities \xc2\xb7 Negatives outcomes and inactive files CaMS \xc2\xb7 Highlight of files open more than 90 days - aggregate to management - list to Leadership Team \xc2\xb7 Monitor 15b report- PWD, OW, Suitability indicators etc \xc2\xb7 Produce staff and workshop schedules - ensure balanced caseloads \xc2\xb7 Schedule staff to ensure appropriate coverage \xe2\x80\x93Monthly RI Schedule, adjusts work schedule, with approval of Service Delivery Manager to meet the needs of our clients \xc2\xb7 Provide Aggregate data of number of client contacts per Career Development Practitioner \xc2\xb7 Meet with unit CDP and YW Leads to review and discuss unit updates and areas of improvement \xc2\xb7 Meet with CDP/Outreach Coordinator for updates on Nipigon and surrounding area ensuring workload is balanced. \xc2\xb7 Monthly performance reviews with staff one-on-one Quarterly - Gather information for managers for quarterly reviews. \xc2\xb7 Ongoing, Identify issues from previous agency audits that require ongoing and or periodic checks - ensure issues are addressed \xc2\xb7 Work with Service Delivery Manager to determine mitigation strategies \xc2\xb7 Maintain expertise in agency data management systems \xc2\xb7 Perform regular file audits (client and compare to CaMS in order to ensure data integrity \xc2\xb7 Monitor data entry into all databases (Performance Management Tool, CaMS, intake spreadsheet) to ensure timely and accurate data entry \xc2\xb7 Provide dashboard information to management and research data as required to support program monitoring, reporting which will assist management with proposal writing \xc2\xb7 Train Career Development Practitioner and Youth Workers related to quality control \xc2\xb7 Develop and maintain constructive and cooperative working relationships with others, including clients, staff and other members of the Leadership Team \xc2\xb7 Supervise Career Development Practitioner and Youth Worker staff and assist with the daily operations of the department \xc2\xb7 Provide coaching and mentoring to front line staff \xc2\xb7 Oversee Career Development Practitioner and Youth Worker staff and assist with the daily operations of the department and bring any issues to the Service Delivery Manager and Leadership meetings \xc2\xb7 Assist with Workshop schedules and planning with/for Youth Workers \xc2\xb7 Approve Career Development Practitioner and Youth Worker time off requests and vacations \xc2\xb7 Review & Monitor Placement Agreement, sign off Placement Matrix \xc2\xb7 Demonstrate a clear understanding of programs delivered and labour market information \xc2\xb7 Identify gaps in service and contribute to planning activities to address \xc2\xb7 Organize and set priorities for department to meet critical deadlines with a minimum of direction \xc2\xb7 Follows collective agreement and other applicable legislation \xc2\xb7 Maintain confidentiality regarding sensitive information Other duties as assigned by the Service Delivery Manager and/or Executive Director. Job Related Qualifications: \xc2\xb7 Post-secondary education preferred \xc2\xb7 Experience supervising employees in a social services setting preferred. \xc2\xb7 Knowledge of local labour market information \xc2\xb7 Understanding of cultural needs of diverse ethnic and socio economic populations. \xc2\xb7 Ability to coordinate diverse activities \xc2\xb7 Ability to communicate effectively in writing and orally in order to convey information, in a manner consistent with job functions \xc2\xb7 Familiarity with statistical reporting and analysis \xc2\xb7 Familiar working in a unionized environment and working with a collective agreement Job Types: Full-time, Permanent Salary: From $30.92 per hour Benefits:
