We are seeking a
Program Manager
who is responsible for leading the planning, execution, and evaluation of organizational projects and events while managing and supporting a high-performing team. This role combines hands-on project management with people leadership, ensuring projects are delivered on time, within budget, and in alignment with the organization's mission and strategic objectives. The ideal candidate is an experienced leader who thrives in a collaborative, fast-paced nonprofit environment.
Key Responsibilities:
Project Planning & Coordination
Develop detailed project plans including timelines, deliverables, milestones, budgets, and resource allocation.
Identify project requirements and ensure alignment with organizational priorities and funder expectations.
Coordinate logistics for community events, fundraisers, workshops, and other organizational initiatives.
Team Leadership & People Management
Lead, coach, and manage project staff, event coordinators, volunteers, and contractors.
Assign responsibilities, set clear expectations, and monitor performance.
Support onboarding, training, development, and performance feedback.
Foster a positive, inclusive, and collaborative team culture aligned with organizational values.
Execution & Event Management
Oversee end-to-end execution of multiple projects and events simultaneously.
Ensure all event elements--venue, vendors, volunteers, supplies, communications, and safety protocols--are coordinated and delivered effectively.
Troubleshoot event challenges and adjust plans to maintain smooth delivery.
Stakeholder & Community Engagement
Act as the primary point of contact for internal and external stakeholders, including staff, volunteers, partners, donors, and vendors.
Provide consistent project updates, prepare status reports, and communicate any risks or changes in timelines.
Build and maintain strong relationships with community partners to enhance event reach and impact.
Process Improvement & Operational Efficiency
Evaluate event processes, workflows, and systems to identify opportunities for improvement.
Implement best practices in event planning, budgeting, project management, and volunteer coordination.
Support the development of organizational policies and procedures related to event management.
Budget & Financial Oversight
Prepare and manage project and event budgets.
Monitor expenditures to ensure compliance with organizational financial guidelines and funder requirements.
Seek cost-effective solutions and negotiate with vendors to optimize spending.
Team Collaboration & Leadership
Work closely with cross-functional teams, including communications, programs, development, and administration.
Lead and mentor volunteers or temporary staff supporting event execution.
Ensure clear communication and coordination among all team members.
Evaluation & Reporting
Conduct post-event and post-project evaluations to measure success and identify lessons learned.
Gather feedback from participants, volunteers, partners, and stakeholders.
Prepare reports for leadership, funders, and board committees as required.
Compliance & Standards
Ensure events and projects follow organizational values, brand standards, accessibility requirements, and safety regulations.
Maintain accurate documentation for audits, funders, and grant compliance.
Qualifications:
Education & Experience
Bachelor's degree in Project Management, Business Administration, Event Management, Nonprofit Management, or a related field.
Proven experience planning and executing events and projects, preferably within a not-for-profit or community-based organization.
Experience working with project management tools (e.g., Monday.com).

Assets
Certification in Project Management (PMP, CAPM, or equivalent).
Familiarity with nonprofit operations, grant requirements, and donor-funded programming.
Proficiency in French (written and verbal)
Working Conditions
Travel is required as events are produced throughout Ontario and Canada.

Pay: $65,000.00 per year
