About the Role



As a

Program Coordinator

, you'll be at the heart of SWAP's international work and travel programs supporting Canadian youth heading abroad and welcoming international youth as they begin their Canadian adventure. SWAP is the Canadian branch of the JENZA IENA Group, a family of brands including BUNAC, USIT, JENZA and IENA, making us a truly global platform.

This is a dynamic, people-focused role that blends administration, customer support, and community-building. You'll work across teams, connect with partners around the world, and support young people during some of the most exciting (and nerve-wracking!) moments of their lives.

About SWAP



SWAP Working Holidays helps young people aged 18-35 explore the world through work and travel. We support Canadian youth as they prepare for life abroad and welcome international participants into Canada. We help them settle in, find work, build community, and experience the country beyond the postcard version.

What You'll Do



As a Program Coordinator, you'll work across both outgoing and incoming programs. Your responsibilities will include:

Supporting participants via email, phone, and in person with friendly, solution-focused service Processing applications and maintaining accurate participant records and documentation for our Canadians travelling abroad on working holiday and USA J1 programs Coordinating visa paperwork and tracking deadlines Running weekly group orientations for new arrivals at our Toronto resource centre Providing job-search support, including resume and cover letter feedback Updating and managing training and pre-departure guides for programs + keeping on top of any program changes or updates Liaising with international partners, embassies, and local employers Handling email inboxes, mail, and office resources Office upkeep (managing cleanliness, kitchenette, office supplies and general upkeep) Planning and hosting social events and community activities (once per month) Contributing to marketing efforts (social media, website updates as needed)

Day in the Life



Your mornings (9-12) will see you supporting Canadians working abroad: answering emails and calls from participants ready for their big adventure, processing applications, and navigating next steps at each step in the process. Once a week, you'll host a welcome orientation for new arrivals here in Canada, helping set them up for success and ease those first-day nerves.

Afternoons (12-5) are a mix of online and in-person work. You might be updating applications or social media one moment, then sitting down with participants to review resumes, chat through travel plans, and help keep the office and resource centre running smoothly. No two afternoons look the same.

Once a month, things get a little more social. You'll help organize and attend evening events (think hockey games, paint nights, ice skating, or seasonal events like pumpkin carving) to help participants build community and feel at home in Canada.

Qualifications



Post-secondary education in English, Communications, Hospitality & Tourism, Business Admin or equivalent degree or equivalent experience (non-academic) 1-2 years working experience in customer service or hospitality Administrative experience in an office setting (preferred) Experience working with youth or young adults (strong asset) Experience in ESL or multicultural environments (strong asset) Strong knowledge of Toronto and Eastern Canada (culture, activities, travel tips) Excellent customer service and interpersonal skills Personal travel experience (asset) Second language an asset (German or French a bonus but not mandatory)
