POSITION SUMMARY



The

Program Coordinator

supports the Faculty Affairs Manager in all the administrative and academic tasks of the faculty. He/She interacts with Instructors and provides them with support, information, and guidance related to the faculty affairs. Must be knowledgeable about the College, academic programs, schedules, and other relevant topics to answer questions and find solutions to different issues within the faculty.

DUTIES



Duties include but are not limited to the following:

Act as a support person for the Faculty Affairs Manager in administration tasks. Oversee the academic processes associated with scheduling, timetables, attendance review, and other processes associated with faculty workloads. Provide customer support to all staff in relation to faculty affair processes and systems. Act as a point of contact for all instructors and coordinate their needs in relation to administration issues (schedules, attendance, courses, and policies). Work collaboratively and with departments such as Admissions, Students Success, Human Resources, Finance, Operations and Compliance. Provide front line, first contact support and customer service to Instructors via telephone, email and in person. Work collaboratively as part of the faculty team in the development of effective academic programming and planning. Acts as resource person for faculty policies and procedures. Provides administrative and secretarial support for administrative and faculty affairs activities. Assist with faculty events and activities. Ensure compliance of regulatory requirements in the compilation of data in preparation for reporting, analysis, and presentation. Act as backup to the other administrative support staff with the faculty.

Qualifications, Requirements and Skills:



High School diploma/College Diploma and or any additional qualifications in an administration discipline is preferred 1 - 2 years related work experience providing administrative and customer service support to the education sector is an asset Proven experience using a Student Information Systems (SIS) and/or a similar database system preferred is desirable Experience working with community organizations, schools, private college or similar education institutions desirable Proven experience drafting complex documents, reports and communications for a variety of audiences Attention to detail Excellent oral and written communication skills Courteous, tactful, and effective communication with students, faculty and staff Ability to obtain and provide information in a clear and concise manner both orally and in writing Good interpersonal and analytical skills. Ability to maintain confidentiality Proficiency in MS Office. Ability to adapt to new and emerging technologies, maintaining a database, and manipulating data
