Maintaining and building our Provincial infrastructure is no small job.



The Infrastructure Management division at the Department of Public Works supports Nova Scotia's 2,400 buildings and infrastructure assets across a wide range of clients. We maintain and support various government buildings and other built assets, including museums, core buildings and office buildings supporting the work of government, correctional centres, and justice centres.



Without our Infrastructure Management staff's proactive measures, equipment issues or failures could lead to an interruption of services provided. The Program Coordinator (PAO) is just one of our key team players who support the overall safety and efficiency of our provincial building infrastructure.

About Our Opportunity

Reporting to the Manager of Business Services, Real Estate and Infrastructure Management Division, the Program Coordinator (PAO) is responsible for the coordination/administration, interpretation, investigation, and provision of information of various government programs throughout the province. The Infrastructure Management Division provides services for the management, construction and maintenance of provincially owned buildings and related infrastructure.





Responsibilities of the Building Infrastructure Program Admin Officer include assisting in the Infrastructure Management divisional program delivery, leading the administration of supporting government programs, and managing distribution and tracking of project documents within the portfolio of projects.





As a Program Coordinator (PAO), you'll play a crucial role in developing and supporting divisional workflow processes. Your responsibilities will include coordinating client and divisional needs, managing relationships within the department, assisting with communications, procurement, and project forecasting. Additionally, you'll track contract requirements and performance while maintaining high-quality standards. Your contribution will extend to supporting the management team in effective records management practices that follow departmental policies and procedures.

Primary Accountabilities

The primary accountabilities of this position are:




Promote the strategic use of information assets to support organizational goals, working closely with senior management to refine information management processes tailored to divisional needs. Utilize SAP modules--including reporting, financial, procurement, inventory, and plant maintenance--to generate insightful reports supporting the Real Estate and Infrastructure Management Branch. Conduct comprehensive data mining for KPIs from multiple sources, leveraging advanced Excel skills (formulas, pivot tables, charts) to analyze large datasets and provide actionable insights to senior leadership. Working with multiple work streams to maintain project momentum, monitor progress, and recommend course corrections to ensure timely and successful project delivery and completion. Collaborate with project managers to enhance workflows and implement effective project processes. Review and flag inconsistencies or errors in project submittals, ensuring full compliance prior to management review.

Qualifications and Experience

This may be the right opportunity for you if you have a bachelor's degree in a business-related field and minimum 1 year of related experience and experience supervising and managing diverse teams; an equivalent combination of training and experience may be acceptable.





Candidates will require a strong working knowledge of records management policy and procedures and project management processes. You shall be proficient in the use of SAP and Microsoft Office Applications (Excel) to generate reports and presentations.





You must be a strong communicator, both oral and written, with strong attention to detail allowing you to conduct research and identify trends, interpret service contracts, and manage files. You take initiative and you work well independently and in a team environment. You also utilize sound judgement and tact when dealing with a variety of stakeholders. Your have organizational and planning skills that allow you to multi-task while adapting to a fast-paced environment, staying in line with the department's goals and objectives.

Completion of a 2-year diploma and 3 years of related experience

Working Conditions

Normal work week is 35 hours/week, 7 hours/day. May be required to work overtime on occasion. Typically located in comfortable office environment. Much of the time is spent in a comfortable position with frequent opportunity to move about. Regularly reads and interprets multiple sources of information, regular requirement to type, read and work on a computer. May experience pressure with deadlines and need for accuracy.

Salary Range:

$1,924.95 - $2,760.42 Bi-Weekly
