Job Description

Job Overview


The purpose of the Program Coordinator is to provide programs and services within the communities of Ponoka and the east half of Ponoka County with direction from the board and E.D.

Currently, these programs and services include but are not limited to, Home Support, Lifeline, Volunteer Services, CVITP (Income Tax Program) Seniors Resources, Friendly Visitor as well as episodic events such as Empty Bowls, Winter Walk Day etc. as well as arranging community events and outings to assist residents of the town and county in improving social well-being.

Key Accountabilities:



Program Coordination



Develop, coordinate, facilitate and evaluate Ponoka FCSS programs, services, community events, and field trips, in adherence to the Provincial FCSS Outcomes

Goal: "FCSS enhances the social well-being of individuals, families and community through prevention" as well as Ponoka FCSS Mission "Building a safe and caring community through quality programs and services."

Coordination and facilitation of programs. The following are examples of programs that are currently running:

o

Daily:

Lifeline, Home Support, Seniors Resource Centre, Income Tax Program, volunteer coordination of all programs, planning monthly community events and education sessions.

o

Seasonal:

Blood Donor Clinics, Community Garden, Fall Clean-up, Tools for School.

o

Annual:

Empty Bowls, National Volunteer Week, Seniors Week, , Winter Walk,

Searches out and is attuned to potential new programs, events, or community gaps.

Researches and completes grant applications for funding opportunities for programs.

Obtaining quotes from suppliers, seeking venues, and planning within a budget. Examples include lining up halls, finding buses and getting tickets to events, etc.

Promotes Ponoka FCSS and programming through media, including e-mailing, poster distribution, radio, newspaper, and social media.

Implements improvements for effective and quality service.

Conducts outcomes measure and completes annual reporting outcomes to FCSSAA.

Amalgamated data for submission to Ponoka FCSS Annual Report

Submits Reports to the Board of Directors in accordance to the meeting schedule.

Any other duties or tasks as assigned by the Ponoka FCSS Executive Director.

Client Services



Home Support



Reviews referrals for Home Support and determines if the client is eligible, the rate for service and the time required for each client. Completes in person intake assessment for each client, including safe home assessment. Schedules Home Support Workers(HSWs) to provide service to clients. Ensures HSWs are trained in all applicable areas regarding policies, processes and procedures (i.e. staff safety, payroll, reporting etc.) Maintains files per client and updates information as needed. Provide information to the Administrative Assistantfor monthly billing purposes. Maintains program statistics for reporting purposes and quality improvement.

Lifeline Coordination



Assess the needs and accept client referrals. Arrange the necessary adaptations for proper installation of appropriate systems. Follow protocol for installation, cancellation, and file/data entry. Monitor and maintain equipment that has been distributed to clients. Monitor and update monthly inventory. Participate in the Western Canadian Association of Lifeline Program. Maintain liaison with Toronto Lifeline. Coordinate assistance of volunteers if available.

Seniors Resources



Take training and attend conferences to be up to date on government changes and procedures. Maintain current information such as brochures and handouts. Be available for drop-ins and scheduled appointments with seniors. Assist with phone calls, letters, forms, and basic understanding of senior resources. Educate seniors on what they should or could be receiving and changes they should be aware of and assist them in applications and back pay procedures if need be. Maintain relationships with senior-related organizations and levels of government. Create events for education or socialization for seniors.

Volunteer Resources



Recruit, screen, orientate, place, evaluate and maintain a supportive role with volunteers in the community.

Maintain volunteer files.

Provide appropriate information and training opportunities for volunteers in the community.

Provide annual recognition and promotional materials to the volunteers.

Ensure volunteer lists are kept current and can be provided upon request.

Community Volunteer Income Tax Program (CVITP)



Oversee the year-round program.

Recruit, screen, train, and organize volunteers for the program.

Create and maintain working documentation for the program, such as tax packages for clients and tracking details.

Ensure the program is running to the specifications of the Canada Revenue Agency.

Additional Collaboration and Communication



Adheres to office policies and procedures and staff code of conduct and ethics.

Sits on committees related to the position (i.e., Quality Improvement Committee)

Attends meetings and conferences relevant to programming and services and as directed by Executive Director.

Qualifications:



Education and Experience



Post-secondary training with a preference in social sciences and community development

Experience in social services, publication design and grant application writing would be an asset.

Possess a thorough knowledge of the community and its resources.

Demonstrates effective communication, leadership, and organizational skills.

Ability to work independently and liaise with community individuals and organizations.

Excellent phone and office skills

Computer experience required with knowledge of Microsoft Word/Excel/Publisher and ability to adapt to online databases such as Lifeware.

Ability to communicate effectively with all staff and the public.

Must be able to maintain confidentiality and respect for all clients.

Adaptable to an ever-changing, fast-paced work environment

Demonstrated ability to work, liaise and collaborate with Board, staff, funders, stakeholders, and community.

Ability to handle a broad range of tasks at once in an efficient manner.

Competencies/Skills & Attributes



The Program Coordinator is motivated and organized, has excellent communication and customer service skills, is computer literate, and is ambitious.

Possess strong interpersonal communication skills and be team-oriented.

Current Criminal record check

Driver's License, reliable transportation, and adequate vehicle Liability Insurance.

Additional Position Information:



Shift Information:

35 hours per week, 10 shifts per cycle over a 2-week period working FCSS Open hours 8:30 am to 12:00 pm and 1:00 pm to 4:30 pm. Monday to Friday, excluding Statutory Holidays.

Additional Position Shift Requirements:

Requirement to work some additional evenings and weekends to accommodate planned trips, required attendance of conferences, etc.

Our programs are intended to help individuals adopt healthy lifestyles, improve their quality of life, and build the capacity to prevent and deal with crisis situations should they arise. As such, Ponoka FCSS employees are expected to provide information and resources to all community members, including seniors, families, children, and Equity Deserving Populations.

Job Type: Full-time

Pay: $30.00-$34.78 per hour
