About this Opportunity
The university is establishing a Speakers' Network that will bring together people to exchange ideas, spark conversations, and strengthen connections across campus and community.


We're seeking a Program Coordinator to help build and launch this initiative - someone who is passionate about community engagement and collaboration, skilled in event coordination, and interested in strengthening connections between the university and the broader community. This is an exciting opportunity to play a key role in shaping a program that fosters idea exchange, meaningful conversation, and lifelong learning.

The salary range for this position is:




Recruitment range: $65,860 - $72,607

starting salary determined by the PEA Collective Agreement.

Performance range: $85,633

salary range ceiling is available through annual performance increases.

The salary for this position will be pro-rated to a 0.8FTE.




Job Summary

Mandate:



The Program Coordinator will play a key role in strengthening relationships between the university and the broader community by leading the development and implementation of a Speakers' Network, a new partnership between Community Relations and the Division of Continuing Studies. This program will create accessible opportunities for UVic experts and community to come together to share knowledge, stories, and expertise.


Objectives:




Design and launch the Speakers' Network framework: Develop a comprehensive structure for the Speakers' Network, including program goals, target audiences, and a phased implementation timeline. Coordinate end-to-end speaker engagement: Manage all aspects of speaker participation, including scheduling, communications, logistics, event coordination, post-event follow-up and evaluation. Develop and execute outreach strategies: Create and implement communication plans to raise awareness of the Speakers' Network across campus and in the broader community. Build and maintain relationships: Cultivate strong, collaborative relationships with speakers, faculty, staff, alumni, and external partners to ensure the continued success, relevance, and responsiveness of the program. Evaluate program impact and recommend enhancements: Monitor program effectiveness, produce regular reports and implement improvements to strengthen outcomes and align with institutional priorities. Champion equity, inclusion, and diverse perspectives: Ensure the Speakers' Network actively reflects and promotes principles of equity, accessibility, and diversity across all aspects of programming, outreach, and engagement.

Community Relations is dedicated to fostering and supporting collaboration between UVic, the local community, and municipal partners. By serving as a central coordinating body, Community Relations provides leadership in advancing UVic's commitment to reciprocal, values-based partnerships.


This role may involve occasional evening and weekend work hours.


Job Requirements
This position requires a level of education, training, and experience equivalent to a Bachelor's Degree plus a minimum 3 years' experience and training in a relevant field, preferably in a post-secondary or institutional environment.


Knowledge, skills, and abilities include:




Commitment to valuing diversity and contributing to an inclusive and respectful working and learning environment. Experience working collaboratively with local community organizations. Knowledge of academic systems, program planning, and evaluation. Experience in event planning, community engagement, or programming. Understanding of how to maintain and grow a network of speakers (recruitment, onboarding, relationship maintenance). Experience creating briefing notes, reports, and other documents for various audiences. Ability to communicate effectively with individuals from diverse backgrounds and tailor communication styles for different audiences. Familiarity with event technology, digital communication tools, and organizational skills to track speaker engagements, scheduling, and program feedback. High level of attention to detail and excellent organizational and administrative support skills, including the ability to work independently and collaboratively in a team environment. Ability to resolve tasks and/or problems with a high degree of independence by exercising judgment, initiative, innovation, and employing critical thinking and/or analysis. Experience in working under pressure, being flexible, and consistently meeting deadlines. Skills to research and assess information, quickly identify problems or issues, and recommend solutions. Demonstrated ability to coordinate activities, manage multiple projects, and prioritize. Advanced proficiency with computer applications.

Assets or Preferences:




Knowledge of university organization and post-secondary system would be considered an asset.
