Program Coordinator
Children's Safety Village of Belleville
Position Type: 30 hours per week
Hourly Rate: $23.00
Schedule: Hours will vary, days, evenings and weekends required.
POSITION SUMMARY
The Program Coordinator is responsible for coordinating, supporting, and assisting in the delivery of all educational programs, events, and community activities at the Children's Safety Village of Belleville. This position ensures that programs operate safely, efficiently, and in alignment with CSV's mission to provide hands-on safety education to children and families.
The Program Coordinator will work closely with the Executive Director, volunteers, partner agencies, and community stakeholders to maintain high-quality programming and promote positive community engagement.
WORKING HOURS
The Program Coordinator must be available during all program and public hours, including:
Mondays: 4:00 p.m. - 7:00 p.m.
Wednesdays: 11:00 a.m. - 3:00 p.m.
Every Saturday: Birthday parties and Village programming
Additional evenings/weekends for signature events, fundraisers, community outreach booths, and special programs
Total: 30 hours per week
DUTIES & RESPONSIBILITIES
Program Delivery & Coordination
Coordinate and assist in the delivery of all safety education programs.
Prepare materials, set up program areas, and ensure proper equipment operation.
Assist program instructors, volunteers, and partner agencies during sessions.
Maintain program schedules, booking calendars, attendance tracking, and participant flow.
Ensure that programs are delivered safely, effectively, and in accordance with CSV policies.
Open Hours & Birthday Parties
Provide on-site support during weekly open hours and all Saturday birthday parties.
Greet visitors, deliver a welcoming and family-friendly experience, and assist with program facilitation.
Support party setup, activity flow, and cleanup to ensure smooth operations.
Events & Community Engagement
Support planning and execution of all CSV events, including:
Halloween in the Village
Christmas in the Village
Kids Got Talent
Golf Tournaments
Open Houses
Community outreach booths
Assist with event setup/tear down, volunteer coordination, registration, and guest support.
Promote events through social media and community networking.
Fundraising & Sponsorship Support
Assist the Executive Director with fundraising initiatives and donor engagement activities.
Make sponsorship calls and confidently connect with local businesses and potential partners.
Support sponsorship tracking, follow-ups, and stewardship.
Help secure donations, in-kind contributions, and local support for Village programs and events.
Communications & Marketing Support
Create promotional materials and graphics using Canva.
Manage and schedule social media content related to programs, events, and community updates.
Capture photos and short videos during programs for marketing purposes.
Assist with email communication, announcements, and public engagement as needed.
Administrative Support
Respond to inquiries and manage program bookings.
Maintain accurate records, reports, attendance, and program evaluations.
Support daily operations to ensure a safe, welcoming, and professional environment.
QUALIFICATIONS & SKILLS
Experience in children's programming, recreation, education, or community services (preferred).
Strong organizational, communication, and interpersonal skills.
Confident conducting sponsorship outreach and speaking with community partners.
Proficient using Canva for creating promotional materials.
Experience managing social media content and engaging online audiences.
Comfortable taking photos and videos for marketing use.
Ability to multitask in a fast-paced environment and adapt to changing responsibilities.
Ability to work independently and as part of a team.
CPR/First Aid certification (or willingness to obtain).
Successful Vulnerable Sector Check required.
