Essential Skills Manitoba is looking for a Programs Assistant serving as the key liaison between staff and the public, ensuring smooth communication and efficient information management. This role involves providing administrative support, managing inquiries, and distributing essential information.
Requirements:
Certification or diploma in administration or a related field, with 1-2 years of experience in a similar role (an asset).
CPR/First Aid certification (an asset).
Excellent oral and written communication skills.
Strong attention to detail and a high degree of accuracy.
Ability to multitask efficiently in a fast-paced environment.
Self-directed with the ability to complete tasks independently.
Strong interpersonal, collaboration, and time management skills.
Ability to communicate effectively with diverse groups.
Experience working collaboratively with multiple internal stakeholders.
Ability to handle and maintain confidential information securely.
Proficiency in digital technology, including word processing, share point, spreadsheets, printers, databases, and internal business applications.
General Administrative Duties:
Serve as the front reception contact, greeting visitors and learners in a friendly, professional manner.
Perform general administrative tasks, including scheduling meetings or emailing content, and photocopying/printing materials.
Manage incoming paper and electronic mail, distributing materials and coordinating information flow internally and across departments.
Answer telephone inquiries from participants, stakeholders, partners, co-workers, and the public, providing accurate information.
Ensure training rooms are clean and prepared for the next group.
Identify and report irregularities such as damaged equipment, unauthorized persons, or unusual occurrences.
Collaborate with the team to problem-solve and support operational needs.
Conduct data entry of confidential information.
Other duties as assigned.
Referral Process Responsibilities:
Process intake documents and register participants for services.
Create and track electronic participant files.
Maintain electronic participant and service records within internal applications and database systems.
Send registration confirmations to participants and referral sources.
Update participant data as they progress through services.
Perform basic enrollment duties on Learning Management System platforms.
Serve as the central point of information for Skills for Success Assessments.
Salary: 40,000 per annum
Work Location: Winnipeg
