Position Overview

The Department of Corporate Training and Workforce Development within Continuing Education is currently seeking a Full-time Limited Term Program Advisor for approximately 24 months.

This position reports to the Director of Corporate Training and Workforce Development. The position will be the initial contact for corporate clients who are interested in purchasing quality training and other learning interventions from The University of Calgary Continuing Education. This individual will work with the Director and closely with the program manager and Corporate Training and Workforce Development to proactively support the demand for corporate training solutions, build a pipeline of qualified leads, and ensure the unit achieves its annual forecast or financial goals.The unit offers high-standard program offerings in its corporate training solutions and leverages industry-experienced instructors and the University of Calgary\'s long history of providing industry-relevant graduates to the global job market, building employee bases for diverse industry sectors.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

Administrative and Program Support

  • Assist the Corporate Training team with the successful development and delivery of customized corporate and open-enrolment programs.
  • Gather and compile best practices for corporate training and programming processes, procedures, and identify continuous improvement areas.
  • Assist Program Managers and Program Director with data input on program requirements, program policies and procedures, partnership and professional programs.
  • Determine key program performance metrics with a view to identifying key indicators and areas of improvement.
  • Manage records in compliance with University policy (i.e. retention and destruction)
  • Accurately enter all course section information into the online registration system within the program areas assigned to their portfolio.
  • Perform all coordination and administration responsibilities related to pre and post-training delivery
  • Work closely with the Program Managers to ensure alignment with the operational details of the required program plans.
  • Support the delivery of custom training programs and work with Associate Director to meet clients needs per defined project scope, developed curriculum/training products, delivery plan, and maintaining excellent levels of customer service.
  • Identify and provide initial solutions to mitigate risks associated with training activities.
  • Support the development and maintenance of ongoing relationships with business, industry, community organizations, and indigenous partners, in Calgary, provincially, nationally and internationally in order to assess their training needs.
  • Gather, assess, and make initial recommendations about key client organizations and potential training needs..
Instructor Support
  • Adhere to and support relevant business processes, including but not limited to providing UCIT access, hiring Instructors (as vendors/employees), and onboarding and off-board instructors.
  • Ensure all arrangements are in place for their delivery of a quality course, including the hiring and onboarding process, scheduling, cancellations, and any changes to program delivery, such as course sections.
  • Confirm instructor availability and instructor scheduling based on the academic plan developed by Program Managers and Directors.
  • Accurately prepare and distribute Instructor contract letters and provide any additional information as necessary.
  • Ensure documentation set-up for instructor contract payments and appropriate payroll system or requisitions are entered for contract for service payments.
  • Help instructors troubleshoot basic issues with the Learning Management System and guide them to further resources available for support.
Student Registration Support
  • Work closely with the Service Delivery team to ensure student registration support for the delivery of corporate training programs.
  • Process course registrations, transfers/withdrawals, fee transactions, payments made by credit/debit card, cheque, cash, or invoice.
  • When required, provide information and assistance on admissions, program requirements, exceptions, graduation and course scheduling to students with the corporate training team.
Marketing Support
  • Assist with the advertising and promotion of courses, programs, and promotional materials by using a wide variety of communication tools.
  • Oversee and update company database and customer relationship management systems (CRM).
  • Support action plans that are necessary to improve profitability, market share, and client success ratings, impacting revenue, costs and growth.
  • Gather, assess and make initial recommendation related to existing and emerging competitive products/services, market developments and industry trends.
  • Follow up with customers; pre-sales (inquiries from programs - direct mail, events, etc.) and (post-sale) to determine satisfaction and identify opportunities for improvement.
  • Represent our team at industry tradeshows, business development and industry events when required and proactively communicate our team\'s product and service offerings to our customers.
Qualifications / Requirements:
  • Bachelor\'s degree or equivalent in HR, adult education (e.g., learning design, education), or leadership development.
  • A degree or certificate in project management or a demonstrated ability to lead projects from conception to completion, involving multiple stakeholders and in line with a strategic vision.
  • At least 2 years of experience in coordinating programs and projects, especially in managing the administration of corporate training, is vital.
  • Ability to write corporate training grants and proposals and prepare demos.
  • Training industry experience related to corporate client relationship management and engagement.
  • Demonstrated experience with data administration analytics and performance measurement systems (KPI tracking and reporting) with regard to corporate training.
  • Demonstrated experience with the following technologies:
  • Educational registration technology Desire2Learn (D2L) and Destiny-One (D1)
  • Project Management software tools such as Visio, Basecamp or others
  • Performance measurement systems (Business Intelligence Tools or KPI tracking and reporting) such as Tableau
  • Microsoft Office (Word, Excel, Outlook).
  • Experience working within a diverse, student-focused environment is an asset.
  • A keen attention to detail with an ability to set priorities and meet deadlines while working on multiple projects.
  • Excellent oral, written, and presentation skills, as well as strong interpersonal skills for working with C-level executives, workshop facilitators, and senior HR and business professionals.
  • Willingness and ability to attend offsite client programs and client meetings at local and out-of-town locations as required.
  • Good judgment, initiative, tact and diplomacy in dealing with the frequent interactions with corporate clients, students, instructors, staff, University departments and external organizations.
  • Positive attitude and demonstrated ability to be a collaborative team member.
