The Role


============


The Program Administrator, Outreach coordinates and supports the delivery of community support programs and initiatives. This role is responsible for overseeing the execution of services including, but not limited to, the Prevent Another Litter Subsidy (PALS) programs (in-shelter and mobile), Trap-Neuter-Return (TNR), Low-Income Euthanasia, Keep Them Home (KTH), Pet Pantry, and the Emergency Boarding Program, ensuring these programs are delivered efficiently, compassionately, and in alignment with organizational goals.

Coordinate and administer all external EHS outreach programs and initiatives, including planning and delivery of events and services such as PALS, TNR, Low-Income Euthanasia, Keep Them Home (KTH), Pet Pantry, and Emergency Boarding. Complete all required administrative documentation, coordinate schedules with relevant departments, and ensure smooth operational support for outreach activities Develop, document, and maintain procedures, policies, and practices for external outreach programs to ensure consistency, quality, and operational excellence. Coordinate and train outreach volunteers, and ensure equipment and workspaces are properly maintained, adequately stocked, and supplies are replenished as needed.

Management

Review applications, manage bookings, and coordinate appointments to ensure all services are scheduled and completed within required timeframes. Manage client communications, education, and interactions by prioritizing urgent requests, ensuring timely follow-ups, and maintaining an efficient workflow that supports positive community relationships. Coordinate and manage the animal intake process, ensuring accurate documentation and timely handling of each case, including occasional travel to surrounding communities outside Edmonton. Maintain accurate and up-to-date records, track payments, and ensure proper documentation is completed to support effective follow-up and reporting.

Education & Requirements

High School Diploma or equivalent. Valid Class 5 Alberta Driver's License. Clear three (3) year driver's abstract Minimum six (6) months of experience in administration, reception, and/or customer service. Basic computer proficiency, including MS Word, Excel, Outlook, and internet use.

Skills & Abilities

The successful candidate will demonstrate excellent customer service and program facilitation skills, with the ability to multitask, stay organized, and work efficiently in a fast-paced environment. They will be able to work both independently and as part of a collaborative team, and possess strong interpersonal and communication skills, including the ability to handle conflict and interact professionally with difficult clients.


The role requires physical capability to lift up to 50 pounds and perform repetitive motions such as lifting, bending, and standing. A valid driver's license and experience handling animals are considered assets.

Compensation & Benefits

The Program Administrator, Community Outreach role is classified in Pay Band 2, with a pay range of $17.84-$23.18 per hour.

Hours of Work

Standard hours: 40 hours per week; however, this position is expected to work the hours necessary to fulfill departmental responsibilities. Flexibility may be required for evenings, weekends or special events.
