OPPORTUNITY OVERVIEW
Position: Program Administration and Admissions Co-Ordinator
Position Type: Full Time at 37.5 hours per week.
Reports To: Manager and Director of Childcare Operations

The York University Co-operative Daycare Centre (YUCDC) is situated on the Keele Campus of York University. YUCDC's mission is to support and foster an inclusive learning environment for the children in our care, and to engage them within the community at large, with the goal of instilling in the children respect and appreciation in themselves and in their communities. We work with community partners to provide our children with a safe and stimulating early learning experience that acknowledges and celebrates the histories, heritage and the diversity of our Indigenous peoples and the diverse cultures in Canada.
ABOUT THE ROLE
In accordance with the Child Care and Early Years Act, the Assessment for Quality Improvement tool for the City of Toronto, and the regulations and procedures of other legislative bodies and the Policies and Procedures for the YUCDC, the Program Administration and Admissions Coordinator is responsible to support the Centre with the admission of new families, the program administration and to support the daily staffing and operations of the Centre.
KEY RESPONSIBILITIES
Daily Operation of the Centre
? Work closely with the Manager and Director as part of the Management Team to ensure the daily operation of the Centre.
? Order Centre, program and office items when needed.
? Participate in ongoing professional development and attend all mandatory training.
? Perform other duties as they may be assigned from time to time by the Manager or Director.
Admissions
? Assist the Management Team in working towards full enrollment by responding to parental inquiries, conducting parent tours, and keeping waitlists up to date. Schedule and facilitate Family tours
? Coordinate the enrollment of children and orient families to the childcare program.
? Ensure all children's files are complete at the time of enrollment. ? Ensure all children's files are closed when discharged.
? Ensure the Kindertales and Lillio (formely HiMama) Management Software Programs are up to date according to the guidelines as set out by the Ministry of Education.
Staff Management
? Work closely with the Management Team to assist with the daily staffing of the Centre.
*Assist with the preparation of staff scheduling
*Assist with tracking of staff absences and provide coverage for absent staff
? Foster a cohesive and positive team environment and establish collaborative relationships with peers.
*Supervise, mentor, coach, trains and empower staff, especially regarding problem solving
*Assists in the planning and participate in monthly Program Supervisor and Classroom meetings
Participates in the supervision, training and mentoring of students and volunteers Support program staff of placement students when required
*Support Manager and Director in conducting staff performance reviews
*Support Manager in ensuring that staff profiles are complete on Kindertales and Lillio (formerly HiMama)
Program Administration & Management
*Encourage and support staff in providing learning opportunities that support development, language and cultural experiences
Work with agencies to support staff with the developmental needs of children Ensure that all pertinent information is documented in children's files
*Assist the Manager in conducting mock Assessment for Quality Improvement (AQI) evaluations
*Assist Manager in monitoring program compliance to Ministry and City of Toronto requirements
*Support Manager with the review and sign off on weekly program plans
*Review and ensure the daily/weekly program administration documentation/reports (i.e. sleep charts, water flushing, toy disinfection, ect) are up-to-date and filed.
*Prepare weekly attendance
Assist with the bussing of our Before and After School Children Supply in a classroom if necessary
Health and Safety
*Conduct Safe Arrival
? Ensure all Emergency Information is current, posted and/or stored as required (i.e., Individual Support Plans, Individual Medical Plans, Children's Emergency Information Forms, Allergy and Food Restrictions).
? Facilitate and participate in monthly fire drills and evacuations.
? Report maintenance as required and ensure issues are addressed in a timely manner, in consultation with Management and York University
? Ensure the regular disinfection and maintenance of all furniture and toys is up-to-date and filed.
? Report accidents and serious occurrences to the Manager and Director of Childcare Operations.
? Perform emergency first aid as required.
Communication & Engagement
? Maintain and build strong, healthy, professional relationships with the staff, parents, and community.
? Share in the overall operation of the programs and Centre by maintaining regular and open communication with the families, the staffing team, community, and governing partners.
? Ensure all pertinent information is distributed to the parents and staff.
? Generate memos, newsletters, e-mails, reports, and forms when appropriate.
? Encourage parents to actively participate in the operation of the Centre. York University Co-operative Daycare Centre
? Participate in parent nights and special events.
? Liaise with members of the University Community about issues of mutual concern.
? Be aware of and co-operate with agencies and resources.
Record Keeping
? Maintain an electronic and/or hard copy filing system.
? Ensure the daily communication book is up to date.
? Record weekly attendance on CSIS to be submitted on time and distribute TCS notices to parents.
? Ensure children's files are complete.
? Assist the Management in taking minutes at meetings and filing accordingly.
? Remit payments to our suppliers.
KNOWLEDGE, SKILLS, AND ABILITIES

? Proficient with the use of various forms of digital technology tools.

EDUCATION, EXPERIENCE AND QUALIFICATIONS
Education
? Diploma or Degree in Early Childhood Education from an Ontario College or University.
? Childcare Management Certificate would be an asset.
*Experience working with children with special educational needs would be an asset
Experience
? min. 2 years' experience working in the childcare profession
*Experience working with all age groups infants through school age would be an asset
*Administrative experience within an Early Years or Childcare setting would be an asset
*Experience working in a unionized environment would be an asset
Qualifications
? Registered member of the College of Early Childhood Educators.
? Current Criminal Check & Vulnerable Sector Screening.
? Current Standard First Aid and Infant Child CPR.
? Up to Date Immunization and Health Assessment as per the local Minister of Health Requirements. York University Co-operative Daycare Centre
