We are seeking a highly organized and detail-oriented
Product Coordinator
to join our team and support the delivery of unique travel experiences in the Arctic. In this role, you will play a key part in sourcing and managing a reliable network of travel partners, coordinating private journeys and polar services, and overseeing essential bookings for air travel and accommodations. You will also contribute to the development of ancillary travel products, assist with pricing strategies, and manage the operations of our Beach House property. This position is ideal for someone who thrives in a fast-paced environment, enjoys building strong supplier relationships, and has a passion for creating seamless and memorable travel experiences.
Key Responsibilities:
1. Strategic Sourcing of Travel Products
Assist in establishing a reliable network of travel suppliers for commercial flights, private charters, outfitters, hotel/lodge/camp, ground handler, tour guide and other travel suppliers in the Arctic region.
Create a database of travel products and their costs. Update the database regularly.
Facilitate payment of suppliers and ensure commissions are collected or netted out on the payment.
2. Private Journey and Polar Services
Assist in getting quotes from travel suppliers as basis for costing a prospective Private Journey or Polar Services project.
Create a budget for each Private Journey and Polar Services and analyze the variance between budget and actual spend.
Create a quoting tool for Private Journey and Polar Services
3. Air Transportation and Hotel Booking
Administer the booking of flight and hotel for guests and staff
Develop control measures around hotel and flight booking to ensure that costs are minimized when possible and errors are avoided.
Develop processes and policies on flights and hotels to ensure efficiency and accuracy
4. Ancillary Products
Manage the Profit and Loss of Ancillary Products
Minimize cost and maximize pricing based on airline pricing model.
Assist in pricing travel packages
Create a menu of Ancillary Products for the Sales Team to upsell
5. Management of the Beach House
Manage the listing and booking of the Beach House
Coordinate the maintenance of the Beach House
Manage the Profit and Loss of the Beach House
Qualifications & Skills:
Post-secondary education in business, hospitality, tourism management, or related field (or equivalent experience).
Experience in travel coordination, supplier management, or product development, ideally within the tourism or hospitality industry.
Strong organizational skills with the ability to manage multiple projects, budgets, and timelines simultaneously.
Proficiency in creating and maintaining databases, spreadsheets, and quoting tools (Excel or similar software).
Knowledge of cost control, budgeting, and variance analysis.
Experience managing supplier relationships, contracts, and payments.
Familiarity with airline pricing models and travel package pricing strategies.
Strong problem-solving skills with attention to accuracy and detail.
Ability to develop and implement processes and policies for efficiency and cost savings.
Excellent communication and negotiation skills for liaising with suppliers, staff, and clients.
Customer-service oriented, with a focus on delivering seamless travel experiences.
Experience with property management, booking systems, or short-term rental operations is an asset.
Financial acumen with the ability to manage profit and loss for products and properties.
Flexibility and adaptability to work in a fast-paced, evolving environment.
* Knowledge of Arctic travel, remote logistics, or adventure tourism is a strong asset.
