About The Role
This is a high-accountability, vendor-facing role that bridges procurement and logistics. The Procurement Operations Coordinator is responsible for managing the full back-end procurement lifecycle -- from supplier coordination and production tracking to inspection scheduling and freight booking -- with clear ownership over timelines, documentation, and delivery outcomes.
The working hours for this person should align to support coordination with Asia-based suppliers and is expected this person would be in the office usually from 11:00 am - 7:00pm PST.
This position may require international travel 1-2 times per year.
Key Responsibilities
Vendor & Production Management
Act as the primary point of contact for both local and overseas vendors on scheduling, production status, packaging, and shipping readiness;
Monitor the full production lifecycle: sampling, submittals, production milestones, packaging, and delivery prep;
Procurement Execution & Scheduling
Track all job-level milestones: PO release, production start, inspection, packaging, booking, transit, and arrival;
Schedule QC inspections; follow up on reports, escalate borderline results, and coordinate rework if needed;
Freight & Import Operations
Schedule and track all aspects of freight and import operations: pricing, time, documentation, risks, vendors, and custom brokers;
Liaise with freight partners and customs brokers to ensure successful import and delivery handoff
What You Bring
The ideal candidate brings strong judgment, understands import logistics, and can confidently manage both domestic and international vendors and freight partners. You don't just manage tasks; you take ownership of outcomes. You're methodical, accurate, and not afraid to dig into data.
Skills and Experience
3-6 years in procurement operations, import logistics, or supply chain execution roles;
Direct experience working with overseas vendors and booking ocean freight;
Familiarity with Incoterms, customs documentation, and international shipping practices;
Strong Excel proficiency and comfortable with ERP systems (eg. Acumatica, SAP, Oracle);
Proven ability to manage production schedules and coordinate multiple concurrent projects;
Experience tracking freight data and supporting finance with landed cost calculations;
Able to work in Mandarin is considered an asset.
