The Procurement and Operations Coordinator is a key member of HSO's IQMH - Proficiency Testing team, ensuring the seamless delivery of proficiency testing materials and supporting operational workflows.



This role manages the full procurement lifecycle from creating purchase orders and vendor coordination to delivery and inventory management. The incumbent will maintain strong vendor relationships and compliance with procurement standards.



In addition to procurement responsibilities, the position supports survey preparation, client communications, and accurate data setup to enable smooth operations and program delivery within IQMH - Proficiency Testing. The incumbent will act as a central point of coordination, you will collaborate with internal teams, troubleshoot issues, and streamline processes to meet strict deadlines and enhance overall efficiency.


Main Responsibilities:



Manage the key procurement tasks including creating purchase orders, tracking shipments and managing inventory to support proficiency testing. Prepare and manage survey shipments by creating accurate shipment lists, verifying client data, and generating final reports for internal teams. Communicate with vendors and subcontractors, monitor delivery progress, and coordinate with couriers to ensure timely and seamless shipment. Coordinate onsite survey preparation and delivery, including creating and printing material labels, preparing slide rotations, and shipping materials to clients. Communicate proficiency testing activities to clients by preparing and sending e-notices and responding promptly to inquiries to promote a seamless client experience. Manage client accounts and setup, including creating new sites and updating client information in IQMH systems. Provide project support by assisting internal teams with new tasks and continuous improvement initiatives. Support customer service activities when required.

Must Have Qualifications:



College Diploma in a specialize field. Minimum of 2 years of experience in client services and administration. 1+ years experience in procurement or supply chain management, including managing end-to-end material orders and maintaining strong vendor relationships. Advanced experience creating and maintaining spreadsheets to track budgets and contracts Advanced experience with presenting logistics and data insights to team members for informed decision-making. Strong background in data management and analysis. Strong verbal and written communication skills. Demonstrated adeptness in a fast-paced environment, comfortable in using Microsoft applications and digital technology. Demonstrated problem-solving skills to identify root causes of challenges and assist in developing effective solutions in a team-oriented environment Proficient with CRM tools.

Desired Qualifications:



College Diploma in Commerce, Business Management, Supply Chain Management or a related field Experience within the field of healthcare/medical laboratories Have experience with process improvement Bilingual in English and French languages Experience working with mid-size enterprises with clients that are nationally distributed. Technical knowledge of digital tools such as SmartSheet and Docusign.
