We are looking for a detail-oriented and highly organized
Procurement Coordinator
to join our team. In this role, you will support touring productions by managing the procurement and shipment of consumable materials for domestic and international shows, including rehearsals and one-offs. Your work will help ensure timely, accurate deliveries that meet tour needs and regulatory requirements.
You'll be responsible for placing and tracking orders, maintaining shipping schedules, and coordinating with touring technicians, venues, and local partners to ensure smooth delivery and pickup. The role also involves managing returns, monitoring international shipping regulations, and supporting key documentation such as advance estimates and risk assessments.
This is a fast-paced position that requires strong communication skills, sharp attention to detail, and the ability to manage multiple priorities. The ideal candidate is proactive, collaborative, and thrives in a live event environment where logistics play a critical role in every show's success.
Responsibilities
Placing & Tracking all consumable tour orders both domestic and international including rehearsal and one offs. Ensuring timely and accurate delivery to locals, venues or permitting partners
Create, maintain and monitor shipping schedules for tour orders
Coordinating with touring techs regarding show site inventory to ensure order accuracy and when repeat or additional orders are required
Coordinating return of unused product when it cannot be carried or stored
Liaise with building contacts and local licenses to ensure appropriate acceptance of shipments and product delivery where applicable
Ensure all tracking information is sent to venue contacts/local licenses and touring techs for pick ups
Communicate all international shipping regulations with local companies and manufacturers to ensure shipment accuracy
Communicate and provide special sticker requirements to manufacturers based on international shipping regulations
Assist in international advance estimates, pyro info books, risk assessments and additional documentation as required.
Develop and maintain positive relationships with Customers, Project Managers, Colleagues and Partners and work with the Team collaboratively to ensure accuracy and efficiency of task completion.
Assist Permitting & Logistics Manager with any additional tasks/projects as required.

Pay: $50,000.00 per year
