Role Summary



Reporting to the Director of Academics, the

Procurement Coordinator & Administrative Assistant

plays a vital role in overseeing the company's procurement activities and supporting the operational needs of our warehouse and administrative teams. This is a multifaceted position that involves vendor management, purchase order processing, inventory coordination across campuses, and general administrative duties.

The successful candidate will be highly organized, proactive, and comfortable working independently in a fast-paced, hands-on environment. They will also support digital systems, internal communications, and process improvement initiatives that directly impact student services and campus operations.

Key Responsibilities



Procurement Coordination:



Source and evaluate vendors to obtain competitive pricing and quality service. Manage purchase orders: creation, tracking, processing, and reconciliation. Monitor order timelines and coordinate with vendors and internal teams to ensure on-time delivery. Maintain accurate procurement records and supplier contracts. Conduct cost analysis and price comparisons to support budget planning. Coordinate domestic and international shipments, including direct drop-shipping and bulk orders (e.g., China shipments).

Inventory & Warehouse Support:



Maintain and improve digital inventory systems and tools (e.g., Google Sheets). Track, receive, and store incoming shipments; oversee dispatches and pallet pickups. Conduct regular inventory audits across campuses, coordinate with liaisons for reporting. Optimize physical storage spaces, including printed material and marketing supply areas. Support special projects such as attic revamps, storage overhauls, or building shelving as needed. Create and ship Book Boxes to enrolling students.

Administrative Support:



Provide general administrative assistance, including scheduling, correspondence, and documentation. Maintain both digital and physical filing systems for procurement, operations, and compliance records. Assist in the creation and management of Standard Operating Procedures (SOPs). Prepare reports and support budgeting and procurement strategy development. Other duties as required.

Cross-Department Coordination:



Act as a liaison between warehouse, campus liaisons, instructors, and student service teams. Train internal stakeholders on processes (e.g., campus sweep reports, inventory forms). Develop guides, video tutorials, and user-friendly tools to support system use across departments. Assist in survey collection and analysis regarding supply quality and user satisfaction.

System & Process Improvements:



Identify opportunities to automate manual processes (e.g., recurring order emails, data syncing). Overhaul and maintain clean, intuitive systems for data tracking and reporting. Review and update training materials, including outdated QR code videos and SOPs.

Qualifications



2+ years experience in procurement, warehouse operations, or administrative support. Proficient in digital tools (Google Workspace, Excel/Sheets, PO/inventory tracking software). Strong organizational skills and attention to detail. Able to manage multiple responsibilities and prioritize tasks independently. Excellent written and verbal communication skills. Experience supporting multi-campus or multi-location operations (Preferred).

Work Environment



Primarily warehouse-based with office work and computer use required daily. Physical activity such as lifting/moving boxes and organizing stock may be required. Ability to lift to 50lbs. Occasional local travel to campuses may be required. Independent role with cross-department collaboration.
