The Procurement & Administrative Assistant is responsible for the direct management and sourcing of goods and materials. Throughout the procurement lifecycle, the role will maintain clear and consistent communication between suppliers and vendors, and the shipping contacts and management. The Procurement & Administrative Assistant is also responsible for performing a wide variety of office duties in support of the management team. This is a full-time permanent role that may require weekend work on an as needed basis. RESPONSIBILITIES
  • Facilitate and support all supplier relationships
  • Procure a wide range and variety of products, both locally and online
  • Establish and monitor key performance indicators and metrics for supply chain planning and forecasting; enact changes based on findings
  • Resolve issues and proactively troubleshoot
  • Provide professional customer service in all interactions
  • Prepare and produce written correspondence
  • Conducting online research and report writing
  • Guest services liaison: communication preparation, distribution and response tracking
  • Event and Activities planning for groups young and old
  • Manage information packages and other duties involved with participant coordination
  • Capturing meeting minutes, summary preparation and distribution
  • Maintain a high level of confidentiality in all interactions.
  • Assist with report and presentation preparation
  • Build continuing relationships with organizational contacts to provide superior customer service
REQUIREMENTS
  • Post-secondary education in supply chain management, business administration or equivalent
  • Minimum of 2 years of direct work experience in purchasing or supply chain management
  • Valid drivers license and clean drivers abstract
  • Experience in guest services and/or event planning an asset
  • Adjusts and is flexible to meet changing work needs and demands
  • Strong knowledge of Microsoft Office Suite and other software
  • Able to maintain filing systems and basic databases
  • Superior telephone manners and strong interpersonal skills
  • Strong written and verbal communication skills
  • Professional and confidential at all times
  • Ability to show initiative, creativity, and a high level of critical and logical thinking
  • Travel to Stuart Island for work, including potential overnight stays and weekend work
