We are looking for a Senior Administrative Assistant to join us in the exciting work we do in Supply Chain Services.

Reporting to the Director, Supply Chain Services, this position provides administrative support to the Director, Supply Chain Services and the Director, Fleet, Facilities & Enterprise Contracts. This position assists the Directors proactively, effectively, and independently as well as Common Services day-to-day administrative requirements through the application of sound knowledge of the business, strong technical skills, and good judgement.

What You Get To Do:

Administrative support to the Directors

  • Complete the Directors\' day-to-day administrative requirements by running calendars and all incoming correspondence (e-mail, phone, mail, etc.) including reviewing and assessing correspondence, composing draft responses, forwarding for action or information, seeking direction as appropriate, and tracking the successful completion of each correspondence related action.
  • Arrange and coordinate domestic and international travel and accommodation for the Directors and their respective teams.
  • Perform time keeping and expense processing duties.
  • Coordinate meetings, draft presentations and prepare precise meeting minutes. Track action items reflective of a sound understanding of the business and distribute these in a timely manner.
  • Assert a keen eye for detail in reviewing, assessing, and finalizing all requirements for the preparation of meetings & reporting deliverables.
  • Manage Director working files and department filing systems including Microsoft Teams, OneDrive, SharePoint, and/or OneNote as applicable.
  • Establish and maintain positive and productive working relationships with internal and external parties. Lead these relationships in a professional manner that facilitates a positive corporate image in alignment with what we value.
  • Refer general inquiries from external and internal parties at all levels.
  • Coordinate departmental group activities and work with other administrative staff across ATCO to coordinate cross company initiatives.
  • Coordinate with, take direction from, and assist the Executive Assistant to the Vice President of Common Services, as required.
Departmental Support
  • Provide administrative support for departmental process improvements and technology implementation initiatives, as necessary, requiring collaboration and direction from business leads and project managers.
  • Create Oracle Requisitions and serve as the point of contact for specific vendors supporting operations and projects.
  • Provide general support for the Common Services teams as necessary, collaborating with team leads.
  • Serve as the point of contact for enterprise vendors supporting our internal and external partners.
  • Facilitate and track contract execution for corporate and Business Unit procurement as required under ATCO delegation of authority practices.
  • Anticipate Directors\' and departmental needs and make confident decisions to contribute to an organized and effective work environment.
  • Prepare, compose, and edit a variety of documents, including highly confidential correspondence, memoranda, presentations, contracts, and proposals of exceptional quality.
  • Provide creative recommendations for solving issues and help facilitate outcomes and continuously improve processes and procedures with broad cross-functional impacts.
  • Coordinate and collaborate with management to produce professional, timely, and accurate reporting within Common Services and to broader ATCO partners.
Who You Are:
  • Administrative Assistant Diploma or Business Certificate is required.
  • A combination of post-secondary education and relevant experience may be considered.
  • Experience in the Supply Chain, Logistics, Facilities, Fleet Management and / or Procurement field deemed an asset.
  • Minimum 5 years of dynamic senior administrative experience.
  • Minimum 2 years of experience supporting Supply Chain operational functions.
  • Enhanced interpersonal skills to interact effectively with all levels within the company and external vendors and partners.
  • Conscientious initiative-taker who enjoys working in a team environment, needs minimal supervision and can effectively lead and prioritize workload under pressure.
  • High level proficiency with Microsoft Office 0365, including SharePoint, PowerPoint and Outlook, and Time Management Applications.
  • Ability to interpret data to create effective customer dashboards, presentations and reports.
  • Self-starter that proactively seeks educational opportunities on new or emerging technologies, in anticipation of departmental needs.
  • Knowledge of and experience in supply chain, procurement, and / or commercial contracting standard methodologies and processes.
  • Experience with organizational ERP systems, preferably Oracle Cloud.
  • Strong attention to detail and organizational skills.
  • Able to exercise discretion, judgment, diplomacy, and confidentiality.
  • Demonstrated ability to perform maturely and professionally ensuring complete confidentiality of sensitive and confidential information.
  • Superior interpersonal, collaboration, relationship building and communication styles.
  • Shown ability to effectively handle multiple and shifting demands and priorities.
  • Can perform efficiently, ensuring complete accuracy, under timelines and with minimal direction.
  • Ability to think critically, act logically to evaluate situations, solve problems and make decisions.
  • Exceptional verbal and written communication skills.
