Practice Manager
to oversee the day-to-day operations of
Building Bridges Counselling
, a well-established, trauma-informed private mental health practice in Calgary, in the heart of Bowness Community.
This full-time, in-person role requires someone who can wear many hats--from managing front-end operations and supervising staff to coordinating client care, coaching team members, and even walking our beloved therapy dogs. You'll be the central pillar supporting the clinical team, ensuring the smooth running of daily operations, while enhancing the experience of both clients and staff. Building Bridges Counselling
is a trauma-informed, client-centered mental health clinic offering wrap-around support through a team of Registered Psychologists, Social Workers, and Counsellors. Located in beautiful

Duties and Responsibilities
As Practice Manager, you will oversee and coordinate the following areas:
1. Operations & Administration
Manage daily office operations including scheduling, admin workflows, and system oversight
Maintain clinic compliance with healthcare and privacy regulations (e.g., PHIPA/HIPAA equivalents)
Handle billing inquiries, vendor coordination, and tech troubleshooting
Oversee electronic medical records (EMR) platforms and administrative documentation
Maintain a warm, trauma-informed front desk experience for clients
2. Staff Supervision & Team Coordination
Provide leadership and guidance to admin and clinical support staff
Facilitate onboarding, orientation, and performance reviews
Coach and mentor team members (you'll be supporting the people who support others)
Coordinate team schedules and communications
Promote a positive, collaborative, and emotionally safe work environment
3. Client Experience & Intake
Meet with new clients in a non-clinical capacity to welcome them into care
Support intake coordination, triaging, and appointment management
Act as a point of contact for client questions and non-clinical concerns
Ensure all client interactions uphold our trauma-informed values
4. Marketing & Community Engagement
Manage local marketing initiatives including digital outreach and social media support
Coordinate with the Director on reputation management and public presence
Support community engagement events and wellness partnerships
5. Recruitment & Strategic Planning
Assist in hiring, onboarding, and growing the clinical and administrative team
Support leadership in long-term planning and clinic growth strategies
Identify opportunities for operational improvements and service expansion
6. Therapy Dog Support & Physical Duties
Assist in walking and caring for therapy dogs throughout the day
Ability to move safely through a multi-level building (stairs required)
Maintain a clean, safe, and welcoming environment for humans and dogs alike
Required Qualifications
3+ years of experience in a management or supervisory role (ideally in healthcare, wellness, or private practice)
10+ years of administrative/operations experience
Strong leadership, organizational, and time-management skills
High emotional intelligence and ability to support a diverse team with empathy
Experience with trauma-informed practices and client confidentiality standards
Comfortable with direct client engagement in a non-clinical role
Experience using EMRs and general office management software
Physically able to navigate stairs and walk dogs as part of your daily routine
Coaching skills or experience coaching/supporting others in their roles
Post-secondary education in business administration, office administration, or a mental health-related field is highly beneficial
Bonus or Nice to Have:
Experience in a mental health, medical, or wellness setting
Bookkeeping, Accounting or payroll experience
Experience in with personal development or in a counselling setting as a client
Experience with community outreach, social media, or marketing strategy
Ability to manage multiple responsibilities in a fast-paced environment
Passion for creating supportive, inclusive work environments
Love for dogs, as we have therapy pups on site, and part of your role includes walking them!
