Purpose of the Role
The Practice Assistant will take an active interest in, and obtain a thorough understanding of, all aspects of client requirements to provide exceptional service levels to the lawyers and our clients. The Practice Assistant will act as workflow coordinator for other support services including delegating and reviewing the completion of document production, file management, copying/scanning work and other administrative work.
Key Responsibilities
The key responsibilities of this role are:
AdministrativeManage calendars, ensuring they are up to date and reminding lawyers of meetings etc. on a daily basis Arrange meetings, book conference rooms, refreshments, check rooms prior to meetings etc. and liaise with other attendees, both internal and external Arrange for travel bookings and related details to be made through the support teams Arrange photocopying, printing, organizing couriers, sending out of letters, faxes etc. Arrange for files to be opened and closed, supervise general filing requirements and record keeping Coordinate/conduct research on conflict of interests Use effective systems to ensure that both short and long term tasks are completed within required timescales Support lawyers in marketing activities including involvement in preparation of pitches and presentations

CommunicationTake internal and external telephone queries, responding as appropriate and/or ensuring that all messages are passed on in a timely manner Monitor post and/or e-mails and dealing with as appropriate and ensure that all client related correspondence is passed on to an appropriate lawyer if the relevant person is out of the office Liaise with administrative support departments on behalf of lawyers as required Liaise with the department's Team Leader over any planned absences, arranging cover as necessary and communicating this to the relevant lawyers.

Client relationship managementBecome an active part in the care of clients and be wholly familiar with contacts/clients Enter, maintain and update client details and relevant information in the Firm's CRM contacts system Deal with basic client queries and general administration Arrange client meetings

Document productionCheck correspondence, attachments, documents, reports, presentations, faxes etc. produced by the Document Production team before they are passed to the relevant lawyer and undertake basic/minor amendments where appropriate Type urgent/short/confidential correspondence and emails Produce and maintain Excel spreadsheets as required

Financial - BillingAssist lawyers in the daily entry and recording of their hours in the system Assist lawyers and Practice Group Billing Coordinator in the billing and credit control process by liaising with the lawyer and accounts and to produce standard prebill financial/time reports through the system Request cheques, bank transfers and paying in money received, as appropriate Send invoices to clients with the appropriate supporting documents

Other duties and responsibilitiesIn addition to providing support to the lawyer(s) to whom they report, a Practice Assistant will also provide assistance to their immediate colleagues in the department and, where practical, other departments. Team duties will therefore include: + Assisting other members of the firm, both proactively and at the request of the Team Leader
Any other duties as requested by the Lawyers or Team Leader

Key CompetenciesLegal Assistant or Law Clerk Diploma or equivalent experience; Perfectly bilingual in French and English, written and spoken Minimum 2-5 years of legal experience Mandatory experience in litigation Proficiency in MS Office (excellent knowledge of advanced functions in Word); Ability to communicate in a professional manner with clients and lawyers; Ability to interact professionally with clients and all members of the firm; Strong organizational skills and time management skills; Self-starter who can work with minimal instruction/supervision; Detail-oriented individual with good proofreading skills; Excellent multi-tasking skills; Ability to follow instructions with minimal supervision and take initiative; Able to set priorities while maintaining flexibility; A team player with excellent interpersonal skills.

Nous recherchons un adjoint a la pratique pour notre departement du litige commercial. L'adjoint a la pratique coordonnera les travaux pour les autres services de soutien. Ainsi, il deleguera les taches relatives a production de documents et passera en revue les documents termines; en outre, il supervisera la gestion des dossiers, le bon deroulement des mandats de photocopie et de numerisation, et le travail administratif en general. Il devra comprendre a fond tous les aspects des exigences des clients et aura a coeur de fournir un service exceptionnel aux avocats et aux clients du cabinet.
Principales attributions
Les principales responsabilites associees a ce poste sont les suivantes :
Taches administrativesGere les agendas en veillant a ce qu'ils soient a jour et rappelle aux avocats leurs reunions quotidiennes Organise les reunions, reserve les salles de conference, commande les rafraichissements, verifie l'etat des salles avant les reunions, etc., et communique avec les autres participants, a l'interne et a l'externe S'occupe des reservations pour les deplacements et d'autres details avec l'aide des equipes de soutien Voit au bon deroulement de diverses fonctions : photocopie, impression, envois par messager, envoi de lettres et de telecopies, etc. Voit a l'ouverture et a la fermeture des dossiers, et supervise les procedures pour s'assurer qu'on respecte les diverses exigences en matiere de classement et de consignation Coordonne/effectue des recherches sur les conflits d'interets Emploie des systemes efficaces pour faire en sorte que les taches a executer a court et a long terme soient terminees dans les delais impartis Soutient les avocats dans leurs activites de marketing et participe notamment a la preparation de presentations et de sollicitations

CommunicationRepond aux demandes telephoniques internes et externes, donne l'information requise ou voit a ce que les messages soient transmis aux personnes competentes en temps voulu Surveille le courrier ou les courriels et prend les mesures voulues; voit a ce que la correspondance qui concerne un client soit transmise a l'avocat competent ou a la personne qui le remplace s'il est absent Au besoin, communique au nom des avocats avec les Services de soutien administratif Communique avec le chef d'equipe du service quant aux absences prevues, trouve des remplacants au besoin et communique l'information pertinente aux avocats competents

Gestion de la relation clientS'occupe activement des besoins des clients et est au fait des contacts/clients Saisit, maintient et actualise l'information et les details qui concernent les clients et l'information connexe dans le systeme des contacts du cabinet Repond aux demandes courantes des clients et aux questions generales qui ont trait a l'administration Organise les rencontres avec les clients


Production de documentsVerifie la correspondance, les pieces jointes, les documents, les rapports, les presentations, les telecopies etc. que produit l'equipe affectee a la production de documents avant que ces documents soient transmis a l'avocat competent; au besoin, apporte les modifications mineures requises Tape la correspondance et les courriels confidentiels, urgents ou brefs Au besoin, produit et conserve des feuilles de calcul Excel


Taches financieres -- FacturationAide les avocats quant a la saisie et a la consignation quotidiennes de leurs heures dans le systeme Aide les avocats quant au processus de facturation et de controle du credit en communiquant avec l'avocat competent et la Comptabilite, et produit, au moyen du systeme, des rapports standard de facturation provisoire Au besoin, fait des demandes de cheques, des virements bancaires et des versements Envoie les factures aux clients, avec les pieces justificatives appropriees
