Reporting to the Associate Director, IT Investment Office, the PMO Specialist supports the successful delivery of the University's IT project portfolio. The role involves managing small to medium-sized projects, supporting PMO governance and reporting, and contributing to continuous improvement initiatives. The workload may peak around fiscal year-end, budget cycles, and project delivery milestones.
Summary of Key Responsibilities
(job functions include but are not limited to):
Managing small projects independently, applying project management methodologies
Supporting senior project managers with documentation, reporting, and governance activities
Assisting in maintaining PMO standards, templates, and best practices
Tracking risks, issues, and progress, and ensuring appropriate escalation
Contributing to portfolio-level reporting and resource management
Qualifications / Requirements:
Technical and Professional Skills
Project Management: Experience managing small projects independently
Tools: Proficiency in MS Project, SharePoint, Teams, and other project management tools
Reporting: Ability to prepare clear project status reports, dashboards, and presentations
Governance: Familiarity with PMO standards, frameworks, and best practices
Risk & Issue Management: Strong ability to identify, document, and manage project risks/issues
Analytical Skills
Problem-Solving: Strong analytical and problem-solving skills
Critical Thinking: Ability to evaluate project challenges and recommend solutions
Data Interpretation: Skills in interpreting project and portfolio data to support decision-making
Interpersonal and Communication Skills
Communication: Excellent verbal and written communication skills
Collaboration: Ability to work effectively in cross-functional teams
Stakeholder Management: Experience engaging with diverse stakeholders across academic and administrative units
Education and Certifications
Bachelor's degree in IT, Business, or related discipline (or equivalent experience)
PMP designation is desired
Minimum of 5 years of project management experience
