Our Team:

Our Sudbury Operations have been in existence for more than 100 years. With five mines, a mill, a smelter, a refinery and nearly 4,000 employees it is also one of the largest integrated mining complexes in the world.

The Port Colborne Refinery was also commissioned 100 years ago on the shore of Lake Erie. Raw materials and finished products from Vale\xe2\x80\x99s Sudbury and Newfoundland and Labrador operations are transported to Port Colborne for processing.

The Opportunity

We are currently seeking a Plant Administrator, Local 2020-05 to join our Clarabelle Mill in Sudbury.

The Plant Administrator provides integrated administrative support such as data entry, records management, report generation, scheduling, etc. to the plant and mines in the Ontario Operations.

This role may require the incumbent to occasionally enter into operating areas of the plants and mines in order to provide support and shift work (including weekends) due to our 24/7 operations.

Although previous experience in mining or an industrial setting is considered an asset, we also appreciate that diversity of thought comes from our differences \xe2\x80\x93 and that\xe2\x80\x99s what makes us great!

Accountabilities

In this position you will:

  • Time, absence and incentive entry, reporting and support with strict adherence to payroll deadlines and Vale standards concerning employee pay matters (ex. eligibility for statutory holiday pay, vacation, ESA exceedances, sickness and accident benefits, daily vs. weekly overtime and other leaves of absence according to CBAs and company policy)
  • Provide office administration and support to the Plant (e.g. IT set up and decommissioning for employees, ZES lock box forms)
  • Responsible for maintaining the content on plant bulletin boards, intranet site and the distribution of printed communications.
  • Be responsible for managing and tracking change requests for employee work clothing.
  • Coordinate travel arrangements and submit travel reports.
  • Submit expenses for plant personnel.
  • Record and distribute minutes from OHSE/JHSC meeting and other meetings as required by Plant Management.
  • Maintain action registries as required by Plant Management (e.g. OHSE/JHSC).
  • Coordinate the review of job procedures. Update the job procedures once edits are complete.
  • Administer Local 6500 maintenance job postings and transfers at the plant.
  • Prepare, post and award Local 6500 operations job postings.
  • Participate in process improvement initiatives to support administration efficiencies.
  • Support annual P & M employee vacation canvass preparation and system upload.
  • Provide SAP IM support including entering and updating information, triggering approval of incident closures, and monthly compliance reporting
  • VES reporting (records submission and regular plant status reports).
  • Collect, organize and maintain monthly employee safety documentation, workplace inspections or audits, and employee attendance.
  • Perform regular monthly Safety Plan Tracking compliance reports.
  • Collect, organize, maintain, and post plant overtime record information in accordance with the CBA and Overtime Policy.
Qualifications and Specific Skills:

Education: The successful candidate will possess a College Diploma in Business, Office Administration, or in a related field such as Payroll, Accounting, or Human Resources.

Computer Skills: Comprehensive knowledge and experience using various internal Vale systems such as PeopleSoft, SAP Incident Management, SAP Travel, Vale Educational System (VES), SharePoint, Business Objects, Operational Reporting Portal (ORP), OD Travel Expense Vale Support Centre, and Safety Plan Tracker is required. Must possess strong keyboarding skills and advanced software skills in Microsoft Office (Excel, Word, PowerPoint, Outlook, Access and Visio).

Experience: The ideal candidate will possess a minimum of six to eighteen months of similar administration support experience, ideally in an industrial environment. Must possess customer service experience.

Other Required Skills:
  • Skills testing for keyboarding, software and system proficiency.
  • Time and absence adherence to Vale\xe2\x80\x99s governing policies and CBA articles; data entry of time, attendance and mines incentives, regular reporting, review and analyze employee pay for accuracy, strict adherence to deadlines, ability to maintain confidentiality, troubleshooting skills.
  • Utilize system parameters to generate reports and analyze data.
