We are looking for a driven and curious Planning / Scheduling Manager in Toronto, to support a large multi-billion-dollar Transit / Rail Program.

As a key member of our Transit / Rail Program Management team, you\xe2\x80\x99ll bring gravitas, respect, and experience to the program scheduling function, including both the client team and the contractors. In this Senior position, you\xe2\x80\x99ll be able to facilitate workshops, chair meetings, allocate actions and achieve timely results. You\xe2\x80\x99ll also provide vision, leadership, direction, and example to the program scheduling team to ensure best practice is always maintained, resources are effectively utilized between projects, always seeking to drive improvements.

  • Ensure that schedulers within the team are performing to the best of their capability, are satisfying the requirements of the project delivery teams, are adding value to the client and are maintaining the integrity of the Integrated Master Schedule.
  • In conjunction with the Head of PMO, provide guidance and training to schedulers and manage the relationship between the scheduling team and schedule risk management for projects and program where required, support their career aspirations and deal with underperformance issues.
  • Demonstrate collaboration skills by overcoming resistance from challenging parties and individuals.
  • Develop and maintain cooperative work relationships with the internal program and project team members and the external entities such as clients, stakeholders, technical advisors, and contractors.
  • Be able to effectively communicate complex scheduling, technical and interface issues, and information to varied audiences including clients, departmental management, client senior management, engineering, construction integration, and project teams.
  • Provide strategic leadership within the program team to ensure that the project schedules and in particular the Integrated Master Schedule are fully understood within their limits, such that the program and project teams can leverage the scheduling team to best advantage.
  • Ensure that the impact to other parties of slippages to completion dates are fully analyzed through communication with the central scheduling team.
  • Develop strong relationships with program senior management and the central scheduling team through all communications channels including face to face contact, and effectively manage situations where conflict could arise.
  • Ensure that the integrity and consistency of the Integrated Master Schedule is maintained without exceptions.
  • Work in Client office environment and able to perform under matrix reporting organization
  • Develop a full understanding of project scope, project requirements and contractual documents.
  • Understand construction methodology, track access requirements and constraints, interfaces and third party obligations.
  • Implement best practice schedule and integration techniques, reflecting what are practiced on other large infrastructure programs world-wide.
  • Keep up to date with emerging business and industry trends and the implications of these trends for scheduling.
  • Develop and maintain whole lifecycle project schedules which reflect the strategy of the Project Delivery Team with clearly defined critical paths, interfaces and external dependencies
  • Develop relationships with responsible managers and Directors, and provide motivation for them to fully utilize the schedule and to use it to support their decision making.
  • Understand and interpret contractor proposals; review contractor schedules based on contracts scheduling requirements and provide recommendations to the project team on acceptance or rejection.
  • Ensure that baseline contractor schedules accepted do not un-necessarily expose the client to future claims and support the client with forensic analysis of contractor schedules in the event of claim submissions.
  • Establish and maintain baseline schedules.
  • Update schedules with actual progress and forecast remaining durations, key milestone dates and completion and handover dates.
  • Support schedule risk analysis which is used to forecast and manage time contingencies.
  • Prepare delay analysis, critical path analysis and other performance reports and present them to the project delivery team in their regular progress meetings.
  • Prepare and issue schedule analysis narratives including recommendations for corrective actions that are used by project delivery teams to manage the work.
  • Analyze schedule progress and performance, identify potential risks, issues and problem areas and facilitate their resolution.
  • Develop, implement, and monitor earned value systems that accurately measure progress and performance.
  • Apply practical field experience with scheduling knowledge to identify challenges to the project schedule and suggest mitigation plans.
  • Develop and maintain the overall Integrated Schedule architecture for the wider program including codes, calendars, key milestones and interface milestones. Ensure that central scheduling team requirements regarding schedule standards, consistency and quality are rigorously adhered to.

Accountability:
  • Accountable to client or Jacobs project delivery team senior management.
  • Provide international best in class scheduling standards to ensure that both client and Jacobs meet their scheduling goals.
Relationships:
  • Work with the wider Jacobs scheduling team, functionally reporting to the Head of Scheduling to maintain the integrity of the Integrated Master
Schedule.
  • Develop and maintain meaningful relationships with other project team leads including cost, engineering, procurement, construction, project accounting, and so forth.
  • Develop and maintain meaningful relationships with applicable external entities such as clients, partners, and subcontractors.
Project Delivery Knowledge:
  • Strong construction and rail experience
  • Strong analytical thinking and skills.
  • Solid knowledge and experience with earned value analysis
  • Prefer Canadian work experience and understanding of various types of Canadian specific construction contracts, ie.) AFP / P3, DB or DBB projects
  • Prefer demonstrated experience and knowledge of very large, complex, multi-disciplinary rail and construction programs
  • An advantage to have at least some experience working for a contractor
  • An advantage to have worked for a major consultancy

  • Be able to effectively communicate complex scheduling and general project controls information to varied audiences including clients, departmental management, engineering, project and construction management, and project teams.
Systems:
  • Be proficient with Primavera P6 (Version 8 or higher), spreadsheets/pivot tables and preferably Visio.
  • An advantage to understand other company-standard project controls systems such as EcoSys.
Education:
  • Bachelor\xe2\x80\x99s degree in construction management, engineering, project management, or related technical field.
Experience:
  • Minimum of 15 years of progressive experience in the construction and/or engineering field with increasing responsibility.
Certifications/Registrations:
  • Active membership in AACE, PMI, or similar association is a plus
  • PSP or PMI-SP certification is a plus.
