JOB DESCRIPTION
As Planning Coordinator, you will be the driving force behind the transformation of viable development sites into shovel-ready, multi-unit residential projects. Your expertise will shape each project's trajectory - from conceptual design and municipal approvals through to final construction readiness. You'll evaluate and refine designs, guide consultants, secure all necessary approvals, and ensure each project meets Cityflats' high standards of quality, efficiency, and design excellence.
This role is ideal for a technically skilled, design-savvy development professional who thrives on navigating complex regulatory environments and aligning creative vision with practical constructability.
RESPONSIBILITIES
Site Assessment & Design Feasibility
Evaluate potential development sites for suitability, zoning potential, and design opportunities.
Lead the creation and refinement of concept designs for multi-unit residential projects.
Collaborate with architects and planners to align design vision with regulatory frameworks, community context, and construction feasibility.
Prepare and present design analyses to support acquisition and investment decisions.
Approvals & Entitlements
Manage all aspects of the municipal approvals process, including Official Plan Amendments, Zoning Bylaw Amendments, Minor Variances, Site Plan Control, and Building Permits.
Act as the primary liaison with municipalities, planning authorities, and external agencies to facilitate efficient review and approval.
Oversee consultant teams to ensure the timely delivery of accurate and compliant drawings, reports, and studies.
Anticipate and resolve regulatory challenges to maintain project momentum and alignment with business objectives.
Pre-Construction Coordination
Transition projects from approvals to detailed design and pre-construction documentation.
Collaborate with construction management teams to ensure design intent translates into buildable, cost-effective solutions.
Manage project schedules, budgets, and deliverables during the pre-construction phase to ensure readiness for tender and construction start.
Leadership & Collaboration
Lead multidisciplinary consultant teams, fostering a collaborative environment focused on excellence and accountability.
Coordinate closely with internal teams across Investments, Finance, Marketing, and Asset Management to align project objectives and financial models.
Represent Cityflats at public consultations, design review panels, and industry events, effectively communicating project vision and community benefits.
Continuous Improvement
Stay current with emerging building technologies, sustainability strategies, and regulatory changes to inform project design.
Develop and maintain structured documentation of design iterations, approvals, and lessons learned to improve future project delivery.
QUALIFICATIONS
Degree in Urban Planning, Architecture, Engineering, or a related field.
Proven experience managing pre-construction and approvals for multi-unit residential developments.
Strong understanding of Ontario's planning and development approval processes, building codes, and design standards.
Demonstrated ability to coordinate consultants, lead design reviews, and manage complex stakeholder relationships.
Proficiency in project management and collaboration tools.
Exceptional communication, problem-solving, and organizational skills.
PMP certification or related designation is an asset.
