Job Summary


We are seeking a detail-oriented and organized Office Administrator to join our team. The ideal candidate will be responsible for managing daily office operations, ensuring efficient workflow, and providing administrative support to our staff. This role is crucial in maintaining a professional environment and facilitating communication within the office, particularly in a dental or medical setting.

Duties



Scheduling appointments and answering phone calls that includes reminders to patients and calls/Emails to insurance adjusters Maintain accurate records of patient information and appointments in a computerized system. Everyday insurance billing and invoice processing using EMR System /Juvonno or Jane. Coordinate office activities and ensure that the office runs smoothly on a day-to-day basis that includes cleaning treatments, laundry, garbage disposal and mopping, sweeping and other closing duties. Manage inventory of office supplies and place orders as necessary. Provide excellent customer service to patients and visitors, addressing inquiries and concerns promptly. Support medical and admin staff with administrative tasks as needed. Organize meetings, prepare agendas, and take minutes when required.

Requirements



Proven experience as an Office Administrator in Physiotherapy and/or Chiropractic office. Strong preference for candidates who have experience working with Juvonno Software and understands the basics of billing with MVA, WCB and direct billing. Proficient in computer applications, VOIP phones and office software. Strong organizational skills with the ability to multitask effectively. Excellent verbal and written communication skills in English. Attention to detail and problem-solving abilities are essential. Ability to work independently as well as part of a team in a fast-paced environment. High school diploma or equivalent; additional certification in Office Administration is an advantage.
