Physician Recruitment Coordinator supports and advances physician recruitment and retention initiatives across the community including Orillia Soldiers' Memorial Hospital (OSMH). Reporting directly to the TBD and overseen by the Orillia and Lake Country Physician Recruitment (OLCPR) Committee, this position plays a critical role in coordinating local talent management, managing candidate communications, and driving physician engagement. They collaborate with key partners to ensure alignment of Medical Affairs and OLCPR initiatives, mission and goals.
PRIMARY RESPONSIBILITIES:
Pipeline Talent Development and Locum Coordination
Support the development and scheduling of a local locum coverage pool across community clinics and hospital settings
Coordinate medical student and learner placements with community preceptor's in partnership with Medical Affairs Administrator
Maintain accurate records of learners, resident contracts and prospective physician leads using ATS (Njoyn, ZOHO).
Job Posting and Lead Management
Update and manage job postings regularly across all relevant platforms, including Njoyn, Zoho Recruit, Health Force Ontario and Canada Job Bank.
Enter and manage candidate data from recruitment events, referrals and online applications
Flag follow up milestones and help coordinate next step communications after initial touchpoints
Engagement and Retention
Help coordinate community site visits, tours and community orientation sessions for physicians and their families. Each visit in personalized to the candidate and may include cultural visits, places of worship, childcare centers, schools or activities of interest.
Assist in planning social and engagement events to foster connections between new and current providers
Track and report on local retention activities and provide logistical support for events
Participate in orientation as needed.
Newsletter and Lead Nurturing Project
Lead and design a monthly distribution of candidate-facing newsletter with upcoming locum opportunities and regional highlights
Develop and track communication strategies to convert cold or warm leads into active candidates
Marketing Support
Assist in the creation and updating of recruitment marketing materials, including brochures, digital content, presentations and booth displays
Collaborate on community branding, social media and events
Administrative and Financial Coordination
Prepare agendas and take accurate meeting minutes for OLCPR and partner discussions
Assist with monthly financial tracking and processing, including invoices, reimbursements and funding reports
Provide administrative support including scheduling, correspondence, document organization and database management
Performs other duties as may be assigned by the direct report.
QUALIFICATIONS:
Education:
Post-Secondary Degree or Diploma with a specialization in Business Administration, healthcare management, marketing or Human Resources management required.
Experience:
A minimum of three (3) years' experience in a recruitment coordination, marketing. healthcare administration or similar roles and be comfortable working across platforms, building relationships, and managing time-sensitive projects.
Experience working with ATS/CRM systems (e.g., ZOHOH, Njoyn)
Comfort working with digital tools for newsletters (e.g., Mailchimp) and marketing assets.

Demonstrated proficiency in in MS Office Suite (Word, Excel, PowerPoint, Outlook)

Demonstrated strong critical thinking and judgement, paired with the ability to make decisions and be accountable for the results
Demonstrated ability to manage priorities and contribute to a collaborative work environment
