Summary



The Pharmacist - Assistant Manager is responsible for overseeing the daily administrative and operational functions of the retail pharmacy. This includes managing workflows, staffing, payroll, scheduling, and ensuring smooth operations to optimize efficiency and service quality. The Assistant Manager plays a key role in supporting the pharmacy team, enhancing productivity, and maintaining compliance with organizational standards and policies.

Key Responsibilities:



1. Leadership & Team Management:



Provide guidance and support to pharmacy staff, including Pharmacists, Registered Pharmacy Technicians, Pharmacy Assistants, and Customer Service Representatives. Foster a positive and collaborative work environment, promoting teamwork and professional development. Conduct regular staff meetings to communicate updates, address concerns, and align on operational priorities Set clear performance expectations and provide regular feedback and coaching to enhance individual and team performance.

2. Operational Management:



Develop and implement efficient workflows to ensure accurate and timely processing of prescriptions. Oversee staff scheduling using scheduling software such as WhenToWork, ensuring optimal coverage based on workload demands. Manage payroll processes, including tracking employee hours, verifying timesheets, and submitting accurate payroll data. Monitor daily operations, identify bottlenecks, and implement process improvements to enhance productivity. Maintain organized records for staff schedules, operational procedures, and employee performance reviews.

3. Quality Assurance and Compliance:



Ensure adherence to organizational policies, operational standards, and workplace safety guidelines. Conduct routine audits of workflows and processes to identify areas for improvement and ensure regulatory compliance. Collaborate with the Pharmacy Manager to maintain accurate narcotics counts, inventory management, and compliance with BC College of Pharmacists regulations.

4. Staff Development and Training:



Coordinate onboarding and training programs for new hires, ensuring a smooth integration into the team. Schedule and document employee reviews, including probationary and semi-annual evaluations. Support ongoing professional development by identifying training opportunities and encouraging certifications.

5. Financial Management:



Manage vendor relationships for office supplies and operational equipment to support pharmacy operations. Collaborate with the Pharmacy Manager to optimize inventory levels and reduce waste. Review third-party payers and PharmaCare set up to ensure accurate billing and reimbursement for services are rendered.

6. Continuous Improvement and Professional Development:



Identify operational inefficiencies and propose innovative solutions to improve workflows and service quality. Stay informed about advancements in retail pharmacy operations, technology, and best practices. Implement systems to track and evaluate operational performance metrics.

Qualifications and Skills:



Bachelor of Pharmacy (Pharm.D.) degree or equivalent. Valid pharmacist license and in good standing with the BC College of Pharmacists. Strong knowledge of pharmacy operations, laws, and regulations. Excellent leadership, communication, and interpersonal skills. Proficient in pharmacy software systems and technology. Ability to analyze data, work under pressure, solve problems, and make informed decisions. Commitment to patient safety, ethical standards, and quality assurance.
