We are seeking a highly organized and proactive Personal Assistant to support the Director in managing daily administrative tasks and ensuring smooth operations. This role requires a professional with excellent communication skills, strong organizational abilities, and proficiency with various office software. The ideal candidate will be detail-oriented, discreet, and capable of handling multiple responsibilities efficiently in a fast-paced environment.
Duties
Manage and maintain the Director's calendar using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and travel arrangements.
Handle incoming calls via multi-line phone systems with professionalism and courtesy, practicing excellent phone etiquette.
Prepare, proofread, and edit correspondence, reports, and presentations to ensure accuracy and clarity.
Perform data entry, filing, and record keeping using Microsoft Office applications and DocuSign for electronic signatures.
Assist with bookkeeping tasks utilizing QuickBooks and perform basic bookkeeping duties as needed.
Provide exceptional customer service to internal teams and external clients or vendors.
Support front desk responsibilities including greeting visitors and managing office supplies.
Coordinate with various departments to ensure timely completion of administrative projects.
Maintain confidentiality of sensitive information at all times.
Skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
Experience with QuickBooks for bookkeeping and financial record management.
Strong organizational skills with the ability to prioritize tasks effectively.
Excellent typing speed and accuracy for data entry tasks.
Familiarity with multi-line phone systems and front desk operations.
Exceptional proofreading skills to ensure error-free documents.
Office experience including clerical, administrative, or executive assistant roles.
Strong customer service skills combined with professional phone etiquette.
Ability to manage schedules efficiently using Microsoft Outlook Calendar.
Knowledge of DocuSign for electronic document signing processes.
