We're looking for a proactive, detail-obsessed Personal Assistant to support our CEO with day-to-day execution across calendar, communications, projects, and travel. You'll be the CEO's "force multiplier," protecting the time, keeping priorities on track, and ensuring high-quality follow-through across our Canadian and U.S. operations.
Job description
Manage a complex and fast-changing calendar: triage requests, schedule meetings, prepare agendas, circulate materials, and track action items.
Draft, proof, and send professional communications; filter inbound requests; maintain timely follow-up; and help keep the CEO's inbox organized.
Prepare meeting briefs and talking points; attend meetings; take clear notes; track decisions and deliverables; and ensure completion.
Maintain the CEO's project list and roadmap; monitor progress; escalate blockers as needed.
Coordinate domestic and international travel (flights, hotels, visas); build efficient itineraries; and manage last-minute changes.
Organize and maintain confidential documents including contracts, NDAs, SOPs, and board materials; manage version control and signatures.
Liaise with internal teams and external partners including accountants, bankers, and legal counsel.
Handle light personal tasks related to travel or events that support overall effectiveness.
Manage sensitive information with absolute discretion and professionalism.
Qualifications
Minimum 2 years of experience as an Executive or Personal Assistant, ideally supporting a senior leader or founder.
Exceptional organization and follow-through: able to juggle multiple priorities and close loops efficiently.
Excellent communication skills: clear, concise writing and the confidence to ask questions or clarify priorities.
Tech-savvy: proficient with Google Workspace (Gmail, Calendar, Drive, Docs, Sheets), Zoom, and project management tools (Asana); comfortable learning new systems (e.g., Shopify, Wherefour, DocuSign).
Strong calendar management across time zones, recurring meetings, and shifting priorities.
Analytical comfort with creating summaries, trackers, and reports in Sheets or Docs.
Discretion and integrity in handling confidential and sensitive information.
Valid driver's license and passport; flexibility to support occasional travel and after-hours needs.
Experience supporting a founder/CEO across multi-entity (Canada/U.S.) operations is an asset.
Comfortable working with business documents such as LOIs, NDAs, and board materials.
Work Schedule: In-person, Monday to Friday, 8:00 AM - 5:00 PM
Salary range: $50,000 - $70,000, depending on experience
