Seeking a detail-oriented and organized Permits/Engineering Technician to support heavy haul operations by managing oversize/overweight (OS/OW) permits, route analysis, and regulatory compliance. The role involves coordinating with project teams, dispatch, and authorities, ensuring all trips meet legal, safety, and operational requirements. This position offers the opportunity to contribute to efficient project execution, maintain accurate permit documentation, and support the overall success of M & J Total Transport and Rigging Inc.'s transportation operations.
Key Responsibilities:
Coordinate with Project Coordinators to determine permitting requirements by gathering accurate equipment configurations, axle groupings, and load data for each trip.
Conduct daily coordination meetings with Dispatch, Port Operations, and Project Teams to confirm oversize/overweight (OS/OW) status, pilot vehicle requirements, and trip-specific constraints.
Analyze routes and select the correct permit type and jurisdiction (municipal, provincial, or multi-jurisdictional) based on load characteristics and travel corridors.
Ensure compliance with maximum allowable axle weights, Gross Vehicle Weight Rating (GVWR), Gross Axle Weight Ratings (GAWR), and load dimensions according to federal and provincial regulations.
Plan and allocate appropriate hauling equipment, trailers, jeeps, dollies, and support resources to meet operational, safety, and logistical requirements.
Identify and manage critical loads requiring permits, special handling, pilot vehicles, or environmental approvals.
Liaise with municipal, provincial, and federal authorities to secure transportation, road use, and environmental permits, ensuring compliance for each project and trip load.
Organize and hire external pilot companies when in-house or preferred pilot providers are unavailable.
Maintain a centralized permit tracking and documentation system to monitor permit validity, renewals, amendments, and compliance conditions, minimizing delays and re-issuance.
Coordinate with Project Managers, Dispatch, and Field Crews to communicate and enforce permit conditions, including curfews, restricted routes, seasonal load limits, and spring weight restrictions.
Manage permitting-related tasks for special assignments, critical operational activities, and complex trip loads.
Develop, maintain, and monitor permit-related expenses within Fleet Manager, including receipt indexing, permit cost tracking, equipment records, annual permits, pre-orders, pre-approvals, and document storage.
Utilize LoadXpert software to calculate axle weights, load distribution, and oversize dimensions in accordance with regulatory limits.
Apply general engineering knowledge to calculate, measure, and assess heavy haul configurations, including trucks, trailers, jeeps, dollies, and associated equipment.
Support accurate recordkeeping and data updates across Fleet Manager, truck information spreadsheets, shared drives, and permit databases.
Ensure safety compliance and risk management in all heavy haul operations.
Maintain readiness for audits and inspections, keeping permit and vehicle documentation complete and accurate.
Provide guidance and support to drivers and operations staff to ensure adherence to permit conditions and operational requirements.
Requirements
Diploma or degree in Engineering Technology, Civil/Mechanical Engineering, Transportation, or related field.
Experience in oversize/overweight (OS/OW) load planning, route analysis, and permit coordination.
Familiarity with municipal, provincial, and federal transportation regulations across Canada.
Basic engineering knowledge to calculate and assess heavy haul equipment, trailers, and trucks.
Proficiency in LoadXpert (training provided), Fleet Manager, AutoCAD, and Bluebeam Revu.
Strong Microsoft Office skills, especially Excel, Word, and Outlook.
Ability to analyze routes, determine permit requirements, and coordinate with authorities.
Knowledge of axle weight limits, GVWR, GAWR, and oversize load regulations.
Strong organizational skills to track permits, expenses, and project documentation.
Good communication and coordination skills to work with dispatch, project teams, drivers, and subcontractors.
Ability to work under deadlines, manage multiple trip loads, and ensure safety and compliance.
Willingness to travel for inspections or project support as needed.
