As a Naturopathic Medical Office Assistant, you are an essential part of the integrated health team to ensure we provide the best care we can to our patients. You will work independently and also closely with the office manager, co workers and multiple health care professionals as the first contact with any patient whom calls or enters our clinic. This is for a permanent part-time position. Plus full time in February 2026 for one month when existing staff is away.
Your responsibilities will include:
Meeting and greeting patients
Appointment Booking with Jane software for multiple practices
Phone, In Person and Electronic Patient Care: answering questions, appointment bookings, invoicing, supporting patients with and in the preparation of laboratory testing, managing sending of prescriptions, patient invoicing and preparing and dispensing dispensary items
Patient Chart and Information Management: Maintaining, managing and preparing accurate and confidential patient records in a confidential manner.
Payments: invoicing, collecting payments, invoicing third parties, collecting AR's efficiently, managing clinic cash flow and day end cash outs, managing insurance and keeping accurate financial records and reports.
Assisting Practitioners and maintaining patient rooms: preparing and cleaning rooms for patients, restocking supplies, and supporting heath care professionals with tasks to ensure smooth patient flow
Maintaining Clinic Cleanliness: Ensuring a clean and organized clinic environment that reflects our commitment to excellence.
Must be able to:
Provide warm, supportive and friendly customer service in a busy environment
Communicate with pharmacies, third parties and laboratories
Maintain a positive patient experience for all clinic patients and team
Multi task and work in a team-based manner along with working independently when required
Provide friendly yet efficient patient centered customer service when performing work duties, answering questions, invoicing or scheduling patients or when answering questions about our services to current and potential patients ensuring each patient leaves with a positive experience.
Address administrative and patient care related concerns or challenges in a kind and respectful manner maintaining communication with your team and following up as needed.
Follow clinic policies and procedures
Schedule patient appointments in Jane and to be able to fill and optimizing clinical schedules and manage waitlists to fill practitioner schedules.
Submit extended health claims to third-parties in a timely manner.
Collect payments from patients in a timely manner
Support practitioners as required in their duties
Collect and maintain accounts receivables
Following up and chasing outstanding payments for patients and funders to maintain Accounts Receivables within acceptable ranges.
Maintain clean and tidy patient rooms, reception area, waiting area and clinic space.
Other duties as required and assigned.
Qualifications:
Must Haves:
Grade 12 education or equivalent.
Able to type with proficiency including with the use of Microsoft Office, Outlook and Jane EMR, or similar.
Thrive in a fast-paced environment and be able to problem solve and work independently
Excellent English verbal and written communication skills; experience with medical terminology an asset
Be a hard worker who enjoys multi tasking.
Enjoy working with others for the focus to provide excellent health care services.
Attention to detail
Preference Given if you have:
1-2 years of experience in a healthcare setting or equivalent post secondary education
Experience in a pharmacy, clinic, or medical office
Experience working in an integrated healthcare setting.

of what the hours some of the shifts could look like are (Hours will be subject to change ), Mondays 9:30am - 4pm, Thursday 9:30am - 5pm, Friday 9am - 5pm & Saturday 8am - 2pm. Please only apply if you are available for example shifts and Saturdays.
