Our Current Opportunity:
Okanagan College is looking to add a People Services Associate (TM & OD) to our People Services team.
The People Services Department is restructuring to better support current and future organizational needs. This is a new role that is being implemented as part of the restructuring.
The Role, and where it fits in the new structure:
Under the general direction of the Manager, Talent Management & AI Integration the People Services Associate (TM & OD) supports the hiring process by advertising vacancies, overseeing the recruitment and relocation budget.
In addition, under the general direction of the Manager, Organizational Development, the People Services Associate (TM & OD) supports training by maintaining the MyPD page and ensuring all necessary logistics are managed with respect to training events and provides reports on the Professional Development budgets managed by the department.
Finally, the People Services Associate (TM & OD) will also provide support for Wellbeing activities.
Functions and Duties
The general areas of responsibility for this role are listed below. Highlights of the specific duties and functions that the incumbent will be expected to undertake are included under each heading / area.
Financial Processes
Monitors advertising, recruitment, training and relocation expenditures and provides monthly reports to the Manager, Talent Management & AI Integration.
Prepares, codes and ensures accuracy of payment forms for invoices, visa statements, expenses, payment vouchers, journal transfers and service contracts.
Supports the service contract process as necessary.
Recruitment, Talent Management & AI Integration Support
Under the direction of the Manager, drafts Standardized Operating Procedures (SOP's) and reference materials for internal use with respect to the advertising and recruitment expense processing, and other recruitment, talent management & AI integration processes.
Supports the sourcing of candidates through various channels, including managing the website and maintaining the use of social media to attract diverse candidates as directed by the Manager, Talent Management & AI Integration.
Provides advice and support to clients on request for on-call / auxiliary staffing.
Tracks and reports on applicant sourcing; determines projected recruitment and selection costs; makes budget recommendations; processes recruitment related expenditures; tracks and reconciles the recruitment budget.
Participates in on-boarding and orientation of new employees as required.
Participates at events such as recruitment/talent management/AI integration workshops and career fairs etc.
Conducts research and provides administrative support for various projects and initiatives (e.g. implementation of a succession planning framework, implementation of a new Applicant Tracking system, implementation and integration of AI approaches in talent management etc,).
Training & Events
Monitors budget expenditures from all Professional Development funds and provides reports to the Manager, Organizational Development as required.
In the absence of the Departmental Administrator support the administration of Professional Development funds as required.
Maintains the MyPD website, ensuring the information, links and calendar are maintained.
Supports training needs analysis.
As directed by the Manager, Organizational Development provides logistical support for training and learning activities, including:
+ Attending virtual or in person training sessions to provide technical support such as equipment set up, breakout rooms, monitoring the virtual chat for questions as required.
+ Provide administrative support for The Working Mind, Homewood Health sessions, and other health and wellness courses which can include creating and updating content in MyPD, advertising, managing participant lists, and liaising with external parties as needed.
+ Manage and confirm registrations in the MyPD system.
+ Support the orientation process ensuring information is maintained and up to date.
+ Distribute training evaluations and collate and summarize responses.
General Duties

Provides support for the work of other Associates as required.
Education and Experience
Education and Experience that candidates should have includes:
A two-year Diploma in Human Resource Management is required. A minimum of four years of progressive work experience in a similar or related position(i.e. Talent Acquisition, Talent Management, Organizational Development, etc,) performing complex activities in one function/program and/or supporting multiple functions/programs is required. Or the equivalent combination of education and experience. Experience in a unionized environment is preferred.

Schedule
The normal work week for a full-time excluded support staff employee is seven (7) hours per day and thirty-five (35) hours per week, Monday through Friday. Provided overtime is approved in writing in advance by the immediate manager, excluded support staff employees who work more than seven (7) hours in a day or thirty-five (35) hours in a week are entitled to compensation for these overtime hours in accordance with the provisions of the Employment Standards Act and College's Exempt Employee's Compensation & Classification Procedure.
The primary work location will be the Kelowna Campus. However, following successful completion of Orientation and Onboarding activities, the incumbent will be provided the option for remote work, within the Okanagan Region, 1-2 days per week.
Annual Salary/Hourly Rate
$65,915 - $92,281 (Typical hiring range $79,098-$87,887)
