Are you detail-oriented and passionate about getting the details right the first time? TNDC is looking for a PayrollSpecialist to ensure our employees are paid accurately, on time, and in full compliance with company policies, collective agreements, and government regulations.
Reporting to the Financial Controller, you'll oversee the full payroll cycle--from data entry and reconciliation to reporting and audits. You'll be a trusted resource for employees, providing clear, timely answers to payroll-related inquiries and ensuring sensitive information remains confidential. With a strong focus on compliance, efficiency, and process improvements, you'll directly contribute to the smooth operation of our payroll function and a positive employee experience across TNDC.
This hybrid role offers flexibility, with the ability to work from home part of the week. The successful candidate must be based in Vancouver, BC, or Dease Lake, BC, and available in-office at least three days per week.
Responsibilities
A.
Performs payroll functions including
Ensuring accurate and timely processing of the biweekly and monthly payroll accounts for over 250+ employees
Review timesheets and attendance records and correct inaccuracies with departmental interactions
Preparing reports by compiling summaries of earnings, deductions, leaves, taxable/non-taxable wages
Resolving payroll discrepancies by collecting and analyzing relevant information
Ensuring compliance with, and implementing updates for, all relevant payroll legislation
Calculating and preparing vacation pay, salary adjustments, and records of employment within established deadlines
Calculate, remit, and reconcile the BC Employer Health Tax (EHT), the company pension, and WorkSafe BC accounts
Analyze compensation-related data including wages and bonuses
Collaborate with Finance and Human Resources to continue to improve internal policy and procedures related to the payroll function
Administering the financial aspects of the group benefit plan, including entries and reconciliation of the employee deductions and group benefit deductions
Preparing year-end employee tax slips or forms, and submitting government filings to meet deadlines
Conduct regular audits on payroll procedures and records
Design, document and implement procedures to streamline payroll processes
Report to management on payroll issues and changes
Stay up to date on changes to payroll and tax laws/regulations/legislation
Ensuring payroll related general ledger accounts are reconciled on a monthly basis
B.
Support financial statement processes
Assist with the preparation of month end schedules
Assemble financial information for audits and ad hoc reporting requests as required
Export, review, and post the payroll entries via journal entry into the accounting system
C.
General administrative support
Responding to payroll related questions and requests from employees and staff
Accurately maintain databases and filing systems
Various other office duties as assigned, including providing general administrative support to both the finance and human resources teams
D.
Special Projects
Work with the Finance Team on special projects as required
E.
Other related duties as required by the organization
Qualifications
Grade 12 supplemented with completion or enrollment in a post-secondary Office Administration / Business Administration or Accounting program and/or the equivalent in training and experience.
Coursework and/or relevant experience using various applicable software programs such as Sage 50, QuickBooks, Payworks and Microsoft Office applications (Excel, Word and Outlook).
Proven experience applying the theoretical principles of payroll and basic knowledge of payroll operations.
Strong knowledge of federal and provincial payroll legislation, tax regulations, and employment standards.
Canadian Payroll Association certification and/or Payroll Compliance Professional designation is strongly preferred.
Strong attention to detail, reliability, organizational skills, and ability to meet deadlines.
Excellent communication and problem-solving skills with a customer service mindset.
Working Conditions
Work is carried out in a hybrid/office environment. Regular requirement to meet critical deadlines can cause stress. Overtime may be required to ensure timely handling of payroll. The Financial Controller is available to provide direction and to resolve any conflicts the Payroll Specialist may encounter, such as those relating to supervisors or employees.
