Payroll Specialist

Job Description


Preference will be given to qualified employees, as defined in the Full-Time Support Staff Collective Agreement. Should a suitable candidate not be found, external candidates will be considered.

We are currently seeking two Payroll Specialists who will be responsible for accurate and timely end-to-end processing, confirmation and final payment for all college employees, including special payment non-employees in accordance with the terms and conditions outlined in their contracts and according to college policies and procedures. The Specialists will also be responsible for investigating payroll, inquiries from the Sheridan Community and remedying any issues and will provide training when needed.

What You\'ll be Doing

  • Using PeopleSoft HRIS software, ensuring accurate and timely entry of payroll related information for all Full Time and Part Time Support, Administrative and Student employees as well as Part-Time, Partial-Load, Sessional and Continuing and Professional Studies (CAPS) instructors as per terms and conditions outlined in their contracts and college policies and procedures.
  • Creating, maintaining, upgrading and adapting employee records for all Academic Non-Teaching, special payments and other non-employee set-ups and payments.
  • Entering and verifying payroll transactions and PeopleSoft Job Data records to ensure accurate and timely remuneration of wages for all Sheridan employees.
  • Initiating, Facilitating and coordinating the processing and reporting steps required in completing the bi-weekly payroll within predefined timelines.
  • Acting as the first point of contact for the PeopleSoft Time & Labour process to ensure errors are rectified for decentralized time entry.
  • Reconciling, validating and remitting assigned deductions.
  • Using PeopleSoft queries to balance the general ledger and determining the appropriate amounts and preparing online payments or cheque requisitions to remit deductions.
  • Analyzing paperwork and decentralizing data input to ensure completeness, compliance and accuracy against the College\'s Collective Agreements, internal policies and/or the ESA legislated minimum standards.
  • Aggregating Electronic Timesheet Submissions and preparing for CSV (electronic upload via Comma Separated Values file) upload.
  • Performing other related duties as assigned.

The successful candidate will also meet the following qualifications:
  • 3-year diploma/degree in Human Resources management, Accounting/Finance or related field of study
  • 5 years of payroll processing experience on an in-house computerized HRIS (Equivalency will be considered)
  • Must be well versed in the Microsoft Office Suite including Word, Excel, and Outlook. Advanced Microsoft Excel skills, including experience using Macros is considered an asset.
  • Working knowledge of PeopleSoft Time & Labour module is preferred.
  • Thorough and current knowledge of Canada Revenue Agency regulations pertaining to payroll is necessary.
  • Experience in interpreting collective agreements is preferred. Knowledge and experience with accounting principles, mathematical calculations, and general ledger cost accounting and distributions is an asset.
  • Must be able to demonstrate the ability to troubleshoot issues within a decentralized time labour entry environment.
  • Must demonstrate a high level of integrity and compliance with CRA legislation in performing the Payroll function.
  • Completion of the CPM designation and PCP Designation from the Canadian Payroll Association will be considered an asset.
