The Payroll Specialist will report to the Financial Controller, while working closely with the finance and human resources team, as well as external providers. The role is responsible for managing the organizations end-to-end payroll process, ensuring accuracy, compliance, and timely processing.
ROLES AND RESPONSIBILITIES
Payroll Processing
+ Collecting and verifying timekeeping information to calculate pay adjustments and uplifts
+ Processing payroll (semi-monthly and monthly) accurately and on a timely basis
+ Addressing payroll discrepancies and resolving payroll related issues
+ Prepare payroll journal entries and reconciliations
+ Be the primary contact for employees by addressing payroll inquiries, resolving issues, and educating staff on all payroll related items
Benefits Administration:
+ Administering employee benefits programs, including health insurance, GRSP and other benefits
+ Processing benefit enrollments, changes and terminations and ensure accurate and timely payroll deductions
+ Be the primary point of contact for employee inquiries regarding benefits
+ Liaise with benefits providers to resolve issues, discrepancies, and ensure smooth plan administration
Compliance and reporting:
+ Maintain organized, audit-ready payroll records that are reconciled to general ledger
+ Ensure compliance with federal and provincial payroll regulations, employment standards, labour and privacy legislation, and Company policies.
+ Prepare, reconcile and submit all statutory payroll filings and reports and other required documentation
+ Prepare Records of Employment (ROEs), T4s, and other government reporting as required
+ Generate payroll and benefits reports for management
+ Prepare payroll accruals
+ Serve as the primary point of contact for external auditors, addressing and resolving payroll-related inquiries
+ Document and maintain payroll policies and procedures, and continuously assess and improve internal controls over payroll processing and reporting activities
QUALIFICATIONS AND EXPERIENCE
Post-secondary degree or diploma in Business with a minimum 3-5 years experience in payroll
A Payroll Compliance Practitioner (PCP) designation from the Canadian Payroll Association (considered an asset)
