Maxan is looking for a detail-oriented and highly organized
Payroll Specialist
to support our growing team.
This role is ideal for someone who enjoys working with numbers, values accuracy, and thrives on keeping payroll operations running smoothly and on time.
Reporting to the Finance Manager, you'll play a key role in managing full-cycle payroll processing and ensuring compliance with statutory requirements, supporting both our unionized and non-unionized employees.
What You'll Do:
Process weekly payroll for hourly and salaried employees, ensuring accuracy and timeliness
Audit payroll reports and timecards; resolve discrepancies quickly and effectively
Administer salary adjustments, bonuses, and employee expense reimbursements
Prepare and submit monthly union reports; reconcile and remit union dues
Complete payroll-related statutory filings (WSIB/WCB, EHT, source deductions) and prepare T4s, ROEs, and other government documents
Maintain organized and compliant payroll records for audits and reporting
Partner with Human Resources to ensure payroll reflects personnel changes such as new hires, terminations, and compensation updates
Provide payroll-related reporting and respond to employee inquiries with professionalism and discretion
Support union-related processes, including apprentice referrals and program monitoring
What You Bring:
5+ years of full-cycle payroll experience in a small to mid-sized organization
Post-secondary education in payroll, accounting, human resources, or a related field
PCP designation is considered an asset
Previous experience working with unions is considered an asset
Strong understanding of Canadian payroll legislation and statutory requirements
Proficiency with Microsoft Excel and payroll systems such as ADP, Ceridian Dayforce, Plexxis PM Accounting, or BambooHR
Excellent attention to detail, organizational skills, and ability to meet deadlines
Strong communication skills and a collaborative, solutions-oriented mindset
