Job Description

PRIMARY FOCUS:



Under the supervision of the HR Supervisor, the position is responsible for the administration of the organization's payroll and compensation systems (Canada and U.S.), Dayforce HRIS maintenance, and benefits administration support.

KEY RESPONSIBILITIES & ACCOUNTABILITIES:

Understands HJV's vision and how the Payroll Specialist can assist in achieving it.

Identifies, plans and implements process improvements.

Payroll Responsibilities



Processes timely and accurate bi-weekly payrolls for HJV Equipment and HJV Equipment LLC.

Prepares timely and accurate payroll reports for HJV Equipment and HJV Equipment LLC.

Prepares all payroll related government remittances and all provincial, state and Federal tax installments and payments for Accounting.

Prepares T4's and other slips on a per annum basis.

FilesWSIB remittances for Ontario and WCB for Eastern Canada provinces.

Reconciles & remits 401K contributions.

Administrates all claims management for WSIB.

Answers all employee payroll related questions.

Ensures compliance with all payroll-related legislation in Canada and the U.S.

Reviews and approves employee time data in Dayforce prior to processing bi weekly pay runs

Supports audits by providing payroll documentation as required.

Manages and reconciles payroll general ledger accounts and supports Finance with payroll-related journal entries.

Oversees Dayforce payroll configurations and assists with troubleshooting and enhancements.

Benefits Responsibilities



Administers employee health benefits, adds or terminates employee coverage and updates data as required

Prepares monthly remittances for group insurance payments and update employee premium rates in Dayforce to match our provider invoice

Supports annual benefits renewal process, rate changes, and employee communication.

Audits benefit deductions for accuracy and ensures alignment with payroll.

Assists with benefits reporting and analytics (e.g., participation rates, cost summaries).

RRSP/401k administration manages enrollments, terminations, contribution changes, employer match processing, and prepares related reports for Finance.

General HR Responsibilities



Acts as Dayforce system administrator for HR and payroll functions, including setup, configuration, and report building.

Supports HR team in maintaining employee data integrity across systems.

Provides HR reporting to support decision-making (turnover, headcount, compensation analysis).

Participates in year-end processes such as merit increases, bonus payouts, and T4 preparation.

Provides input and support for internal and external audits (e.g., benefits, WSIB, payroll, and HR compliance).

Compensation Responsibilities



Oversight of incentive programs and tracking

Maintains compensation related records (vehicle usage records etc.)

Provides timely and accurate compensation reports as required (including annual year end compensation reports for each employee and bi-weekly wage-change reports )

Assists in addressing employee compensation related questions

Maintains accurate records of vacation and banked time accruals, distributes reminders and reports on outstanding vacation and carry over status

KEY PERFORMANCE INDICATORS:



Timeliness and accuracy of reporting objectives Efficiency gains through process improvements Internal customer (employee feedback) regarding support provided

EDUCATION, KNOWLEDGE & SKILLS:



Minimum of 4+ years of progressive experience in payroll and compensation.

Broad general understanding of Human Resources processes

Strong understanding of relevant related legislation

Strong computer skills (Microsoft/HRS systems)

Takes initiative, establishes solutions

Excellent interpersonal and communication skills

Ability to work efficiently and effectively under pressure with simultaneous deadlines.

Excellent attention to detail and multi-tasking skills

Confidentiality of data is essential

Job Types: Full-time, Permanent

Pay: $60,000.00-$65,000.00 per year
