Trinity College School is currently seeking a Payroll & Pension Coordinator. Reporting to the Director - Human Resources & Governance, the Payroll & Pension Coordinator is responsible for the accurate and timely processing of payroll for all employees and for administering the School's pension plans. This role ensures compliance with legislative requirements and internal policies while providing exceptional support and service to employees and management.


Key Responsibilities


Payroll & Pension Administration




Prepare, process, and reconcile biweekly payroll for all employee groups, ensuring accuracy and timeliness Maintain accurate employee payroll records in accordance with school policies and regulatory requirements Verify and input time and attendance data, ensuring correct application of overtime, vacation, and other pay entitlements Calculate and remit payroll deductions, including income tax, CPP, EI, benefits premiums, and other statutory deductions Generate and distribute payroll reports to management and finance Prepare year-end documentation, including T4s and government remittances Serve as the primary contact for the administration of the School's pension plans, including employee enrolment, contribution remittances, and deduction accuracy

Compliance and Reporting




Prepare and process journal entries related to payroll, pension, and taxes; reconcile payroll to the General Ledger, ensuring accurate posting to all relevant accounts Maintain awareness of legislative changes affecting payroll, pensions, and benefits, ensuring compliance with federal and provincial employment standards, pension regulations, and tax laws Prepare and submit reports to government agencies as required Support internal and external audits by providing required documentation and reconciliations

Stakeholder Support and Service




Collaborate with the School's HR and Finance teams to ensure seamless flow of information and process alignment Serve as the primary point of contact and subject matter expert for all employee payroll and pension inquiries, delivering exceptional customer service with professionalism and discretion Act as a liaison with ADP, managing the relationship, troubleshooting issues, and ensuring optimal use of the system features Identify opportunities to improve payroll and pension processes for efficiency and accuracy Resolve payroll discrepancies by collecting and analyzing information, ensuring prompt and accurate resolution for staff Maintain confidentiality and safeguard sensitive employee data

Qualifications




Diploma or degree in Payroll Administration or a related field, or equivalent experience Certified Payroll Compliance Practitioner (PCP) designation from the National Payroll Institute is preferred Minimum 3-5 years of payroll experience, preferably in an educational or similar non-profit medium-sized organization. Knowledge of pension legislation, pension administration (Defined Contribution pension plan and Ontario Teachers' Pension Plan) Strong understanding of employment standards, income tax regulations, and reporting requirements Advanced proficiency in HRIS/payroll systems with preference for experience with ADP Knowledge of Google Workspace, Excel, and other software applications Excellent attention to detail, analytical skills, and discretion Strong interpersonal and communication skills, with a customer-service focus
