Position Summary:


We are seeking a detail-oriented and proactive Payroll, Benefits, and HR Administrator to manage payroll, benefits, human resources administration, and employee attendance. This hybrid role is key to ensuring smooth operations and supporting our employees in all aspects of their employment journey. Confidentiality is paramount in this position, as you will handle sensitive employee information with care and discretion.

Responsibilities:



1-Payroll Administration:



Process and manage bi-weekly payrolls accurately and on time. Verify employee hours, salaries, deductions, and adjustments. Maintain payroll records and ensure compliance with federal, provincial, and local regulations. Prepare Labour reports for project billing Address payroll-related inquiries and resolve discrepancies.

2-Benefits Administration:



Administer employee benefits programs, including health insurance, retirement plans, and leave policies. Support benefits enrollment processes for new hires. Assist employees with benefits-related questions or claims. Coordinate with benefit providers to manage updates and claims effectively.

3-Vacation Tracking and Absence Management:



Oversee and manage employee vacation tracking and time-off requests. Ensure accurate records of employee leave balances and usage. Monitor and track employee absences, ensuring compliance with company policies and applicable labor laws. Communicate policies related to time-off and absences to employees.

4-Human Resources Administration:



Maintain accurate employee records, including personnel files and HR systems. Manage employee onboarding and orientation processes, ensuring a positive experience for new hires. Support recruitment efforts by posting job ads and coordinating interviews. Assist with employee relations, including handling inquiries about company policies and procedures. Track and report employee data, such as performance, attendance, and training records.

5-Compliance and Reporting:



Ensure all HR, payroll, benefits, and absence management processes comply with applicable labor laws and tax regulations. Prepare and submit reports to regulatory agencies as required. Support audits and provide necessary documentation when needed.

6-Confidentiality:



Safeguard sensitive employee information, including payroll details, benefits claims, and HR records. Exercise discretion when handling employee inquiries and personal matters. Maintain strict adherence to confidentiality protocols and standards.

7-Collaboration and Communication:



Work closely with Management and Finance, and other departments to ensure cohesive operations. Communicate effectively with employees about payroll, benefits, and HR-related matters.

Requirements:



Proven experience in payroll and benefits administration, with exposure to human resources functions. Knowledge of payroll systems, employee benefits programs, and HR processes. Familiarity with Canadian employment standards, labor laws, and tax regulations. Proficiency in HR and payroll software (e.g., Payworks, ADP, Ceridian, or similar). Strong organizational skills and attention to detail. Excellent interpersonal and communication skills. Ability to handle sensitive information with confidentiality.

Preferred Qualifications:



Degree in Human Resources, Accounting, Business Administration, or a related field. Certification in payroll and/or HR (e.g., Payroll Compliance Practitioner, Certified Human Resources Professional).
