About The Mustard Seed Street Church: The Mustard Seed Street Church is devoted to fighting hunger and restoring faith in Greater Victoria. We provide many crucial services for people in need. From food to friendship, we aim to meet the physical, relational, and spiritual needs of the whole person. We run the largest Food Bank on Vancouver Island serving thousand people per month. Our skilled staff and volunteers offer hospitality, pastoral care, programs for parents, addictions recovery, and many other resources.
Position Summary: The Payroll Administrator & Office Manager is primarily responsible to oversee the functioning of the Finance office. Responsibilities will include payroll, in conjunction with DOA managing and up keeping of the extended health benefits, pension and registering new employees. The Payroll Administrator & Office Manager will be responsible and accountable to the Director of Administration (DOA).
Duties and Responsibilities:

  • Support DOA in all banking needs including credit cards and co-signer of cheques
  • Provide bank statements to Bookkeeper
  • Second Authorization for CAFT (for Development)
  • Handling, counting and depositing all cash and cheques
  • Sorting, date stamping and distributing all mail
  • Schedule extra help in finance office in conjunction with DOA, within budget
  • Record and maintain vacation, lieu and sick time for all staff
  • Vehicle Insurance – annual renewals, cancellations, maintaining current insurance file on all
  • General Insurance Certificates as needed (for Development)
  • Setting up and termination of Alarm codes, keeping records of all users, codes and areas, report changes to alarm monitoring company
  • Setting up new staff computers – email account, printers, office365
  • Ordering of all office supplies, name tags
  • Completing the filing of Employer WCB Reports and submit premiums
  • Cell phones: Arranging, upgrading, managing phone packages, setting up and trouble shooting.
  • Petty Cash – signing out, making sure receipts and change are returned, signed and coded and creating a spreadsheet monthly to reconcile with cash
  • Gift Cards – signing out, making sure receipts and gift cards with remaining $ value are returned, signed and coded and creating a spreadsheet monthly to reconcile with gift cards remaining
  • Keeper of copies of all keys and floater laptops. Responsible for signing in and out.
  • Ensure the accurate and timely completion of payroll with DOA as backup
  • Supervise and support receptionist with copier, managing work flow, administrative jobs
  • Ordering, organizing and keep track of bus tickets
  • Participating in the Christian ministry of The Mustard Seed Street Church including attendance of chapel, staff meetings and training opportunities in consultation with supervisor
  • Other duties as required

Qualifications:
  • 3-5 years of related experience
  • Experience managing staff and volunteers in a leadership role
  • High comfort level with multiple platforms and software
  • Ability to process a variety of information: personal, financial and corporate, with the highest degree of integrity and confidentiality
  • High level of communication skills both written and oral
  • Bookkeeping training and/or experience will be an asset

Key Competencies: The Payroll Administrator & Office Manager will be prepared to be flexible in dealing with a number of priorities, tasks and responsibilities as they arise, the role can be unpredictable with variations in workloads. The incumbent will be able to communicate clearly and concisely, with particular attention in positively communicating policy of the Mustard Seed to staff, volunteers and the general public. Of significance will be the Managers ability to effectively work alongside staff and number of volunteers with competing priorities. The Payroll Administrator & Office Manager will clearly demonstrate leadership in their day to day work.
Terms of Employment:
  • Must be willing to sign the staff code of conduct
  • This position reports to The Director of Administration
  • Term: Full-Time position (37.5 hours/week)
  • Hours: Monday – Friday 8am – 4pm (1/2 hours lunch included)
  • Some weekend and evening work is required (lieu time will be tracked)
  • Must provide an acceptable criminal record check

Salary Range: $45,000-$50,000 depending on experience
