The Coolest Administrator Job: Keeping Operations Smooth and Tails Wagging!
Most admins are people wizards who are fantastic at solving problems and staying 2 steps ahead of the game. This job you also need to be naturally good with dogs as well.
You pride yourself on being able to jump in and get things done so everyone on the team can focus on their tasks. Only problem is... most of the time, you never get the chance to fully showcase those skills because while they say they want YOU to own your role, they don't give you any freedom to get it done your way.
It feels like no one will really let you actually DO what you do best. But, what if you didn't have these problems? What if every single day you came to work in a place that allowed you the freedom to make changes? Where you could truly care about the humans and their pups that you get to help every day!
If this sounds like you, you're in the right place. We are looking for a Canine Club Admin to join the Canvasback Canine Club team. This vital role involves greeting clients and their dogs, checking in dogs, creating and managing reservations, handling phone calls and emails, and ensuring smooth operations.
You'll know this job is for you if:
You love organization and are really good at time management.
There's no greater feeling of accomplishment for you than helping people or doing something of value.
You feel great after completing a complex task and look forward to the next one.
Being 3 steps ahead makes you giddy on the inside!
You smile on the inside and outside when ANY dog makes eye contact with you
What we are looking for in a Canine Club Admin:
We are looking for a dog loving person who embodies patience, kindness with a happy go lucky demeanor, keen people skills and a meticulous attention to detail.
Thrives on multitasking and are highly organized.
Comfort and confidence around dogs are essential, and a love for people is a must.
As a forward-thinking team player, you possess excellent communication skills and thrive in a collaborative environment.
You remain calm and collected under pressure, ensuring an exceptional client experience.
More of the Details:
We are an independent, family-owned business committed to always doing the right thing for pets and people. We believe in transparency, kindness, safety at all costs, and integrity in a market that can be anything but. We confidently offer the best dog care facility around. Every day, we strive to improve the lives of dogs and their families, while continuously learning and growing to continue to be better every day.
Now, let's skip right ahead to the meat and potatoes? Our dog business is completely different from anyone else in our region. We're super biased -- but we are pretty sure we are the best dog care facility. We do things differently. We love and appreciate dogs for their individuality and we work really, really hard to listen to owners needs and to create an environment where all dogs can thrive and be their best selves. And we know, because clients tell us, that what we do has made positive changes in their lives. And that makes it all worthwhile.
But, you must know, the job is not all roses and cute puppy dogs -- there is some fun stuff and there is some not so fun stuff...
The Challenges:
Lots of Small Details:
This role involves significant client interaction and administrative duties with an eye for details to maintain a smooth operation, including some not-so-glamorous tasks such as keeping dogs' icons and vaccinations up to date. While it may not feel thrilling, it's still an important part of keeping our faculty running smoothly and safely.
You will get your steps in:
Although you have a desk with a nice comfy chair, this isn't just a regular desk job. In this role, you will be ACTIVELY involved in receiving dogs for daycare and transferring them to their play areas. This means plenty of walking, standing, and stairs.
You will be Interrupted often:
You may be all caught up one minute, then swamped again the next. You might be just about finished a task when the phone rings. Your ability to roll with the punches and shift off task with ease will ensure smooth operations, happy co-workers, happy clients, and happy dogs.
The Good Stuff:
You're the Bomb:
Your role is critical to our success, our team and clients rely on you and being needed feels great.
The work is fun, dynamic, and never boring.
Embrace a dynamic work environment where no two days are the same. Enjoy a variety of tasks and interactions that keep you engaged and energized throughout the day. Plus, who doesn't like to talk about dogs all day, am I right? You will be working directly with our Canine Club team, collaborating the grooming department, and chatting with our awesome clients.
Building Meaningful Connections:
There's nothing better than seeing a dog light up with joy when they see your face. Create lasting bonds not only with the dogs but also with their loving owners that become an extended family.
Help People and Their Pets:
Experience the joy of helping people and making their lives better.
Awesome Team:
Join our awesome team where we work hard and play hard together. Collaborate with passionate individuals who share your love for dogs and dedication to continuous growth and improvement.
Your Company:
We are not a big corporation. Canvasback belongs to all of us. We hire adults that we trust to embody this mindset and are eager to make decisions that drive our team forward and prioritize the wellbeing of pets and people.
Now, let's talk more about requirements for the job:
You need to be the type of person who gets joy out of getting things done
. Every day, you will hammer out a list of stuff. Fun stuff. Important stuff. Necessary stuff. You love lists, managing projects, and checking things off diligently... and maybe you're even one of those people who writes things onto the list just so you can check it off. That's great, I love people like you!
You gotta LOVE dogs
. It's all about the dogs, so it goes without saying you need to adore and be confident interacting with the furry creatures.
You will be emailing + messaging
with customers and radioing the team. So, you need to enjoy talking with people and giving/getting direction, and be able to do it with kindness + empathy... even if you're having an off day.
You need to be a person who loves to deliver remarkable experiences
to other people. You know you are kinda extra about giving amazing customer experience and love making people feel heard, understood, and helped. You need to be someone who feels good making other people feel good.
You need to nail down the details
. You don't need to race through work and get things half done. This is a marathon, not a sprint. We need you to be able to slow down and have an eye for the bigger picture. To see how completing each step progressively is important to ensure our team is able to get things done right.
You love to organize things
that may seem messy or dysfunctional and make them work way better than we ever could.
You need to be comfortable with technology
as some of our clients text us. We have our point-of-sale software, our clients like photos posted on Facebook/Instagram, and our dog management software is kind of its own beast. You need to be comfortable learning two new computer programs and not be afraid to make mistakes (trust me, they are going to happen). It would be a bonus if you're a bit of a dork who loves reports and spreadsheets.
You care and you like learning
. You care about your co-workers, clients, dogs, and the responsibility of your role. And because you care, you strive to learn more. You aren't perfect, but you use every mistake as a lesson so you can continue to be better every single day.
You share our company values
. DO GOOD ALWAYS, BE REAL & KIND, NO BULL, and BE GRATEFUL Whatever we do, no matter the pushback, we always lead with integrity. Relentlessly striving to ensure we always do the right thing for the pets, people, and community we work with and serve. Morally and ethically driven with kindness on our mission to do good.
But what we don't expect is perfection for you to qualify for this job
. Tools are teachable, but we do expect you to have natural people skills, be confident with dogs, and be eager + willing to learn all about our services and offerings. We expect intelligence, energy, organization, resourcefulness, and a happy-go-lucky attitude.
Some specific things you'll get to do:
Greeting clients and their dogs, remembering faces, and ensuring a warm and welcoming environment.
Checking in dogs for services and creating reservations.
Handling phone calls and emails professionally and efficiently.
Ensuring the small important details are captured and entered correctly, like medications.
Supporting the team by providing assistance when needed.
Handling client communications with health concerns or updates.
Approving social media posts.
Assisting in new client orientations and assessments.
What does success look like in this role?
Completing daily administrative tasks accurately and on time with a smile.
Owning and improving a seamless client experience.
Learning all of our systems, policies, and decision-making processes so you can contribute to our goal of being the best care facility ever.
Requirements:
Be confident around dogs and people.
Exhibit patience and a cheerful, optimistic personality.
Willingness to follow and create new systems and processes.
Very empathetic and strong communication skills.
Physically capable of being on your feet and doing plenty of stairs.
