360 Concussion Care is a cutting-edge, multi-disciplinary concussion clinic committed to providing top-notch rehabilitation services. Our leadership team comprises globally recognized concussion researchers and healthcare professionals, including medical doctors, occupational therapists, physiotherapists, and psychologists. We are on the cutting-edge of concussion research by leading the TRANSCENDENT study. This study is establishing one of the largest concussion datasets in the world and is incorporating assessments including physiological evaluations, fluid biomarkers and advanced neuroimaging to improve the diagnosis, treatment, and management of concussion from all causes, across the entire patient spectrum.
We established the first 360 Concussion Care clinic in September 2020 in Ottawa, and we expanded to clinic sites in Toronto in spring 2021, Mississauga in October 2022, and Burlington in summer 2025.
About the Role
We are seeking a friendly, detail-oriented, and highly organized Patient Coordinator to join our clinic's front desk team. As the first point of contact for patients, the Patient Coordinator plays a vital role in ensuring a welcoming and efficient experience. This position is responsible for front desk check-ins, appointment scheduling, billing support, phone communication, and general administrative tasks that support daily clinic operation
Key Responsibilities
Greet patients warmly upon arrival and assist with the check-in process
Verify and update patient information and ensure all required forms are completed
Manage patient flow to ensure timely appointments
Follow up on voicemails, emails, and online appointment requests
Collect payments at time of service and issue receipts
Managing phone calls, emails, and inquiries about services
Verifying patient referrals and insurance information
Support accounts payable, including invoice verification and payment processing.
Maintain accurate financial and patient records in compliance with clinic policies.
Qualifications & Requirements
Education:?Diploma or degree in administration or a related field is an asset.
Experience:?Previous experience as patient coordinator or administrator in a clinical setting.
Skills:?Strong attention to detail, organizational skills, and ability to handle confidential information.
Technical:?Proficiency in Microsoft Office (Excel, Word) and experience with EMR software is an asset.
Other:?Ability to work independently and manage multiple tasks efficiently.
