Position Description

The Division of Clinical and Metabolic Genetics is recruiting a Patient Care Information Coordinator. Supporting the Division and our patients and families, this position provides administrative support in a proactive and organized manner. This position is responsible for patient scheduling, processing clinical paperwork, and supporting our genetics records project.

Here's what you'll get to do:

• Schedule in person and virtual clinic appointments for the clinical genetics section, including scheduling imaging appointments and coordinating appointments with other clinics ensuing appointments are booked within scheduling timelines, and working with clinical staff to address any out of window bookings.
• Create and maintain appointment schedules in scheduling system.
• Reschedule appointments as necessary and notify patients/families of any updates or changes to their appointments.
• Answer phone calls and emails and respond to requests for information from families and healthcare staff.
• Work with staff to prepare requisitions for genetic testing, coordinate specimen collection with families, and tracks results.
• Complete and track ROIs from patients, providers and institutions.
• Updates families on testing status and redirects questions to the health care team as appropriate.
• Organize and manage paperwork for new tests, including the price list and info sheet updates
• Review clinical paper charts and prepare for health records scanning and collaborate with health records staff.
• Update information in genetics databases.
• Support clinical staff in organizing and storing materials that are utilized in the Division.
• Register, greet and orient patients and their families to the clinic.
• Communicate with inter-professional team members within and outside of the organization.
• Act as the liaison for external hospital contacts.

Here's what you'll need:

• Health-related post-secondary education (Medical Administration, Business Administration, Health Administration) preferred.
• Previous clerical or administrative experience; in a health care setting preferred.
• Accurate keyboarding skills and strong working knowledge of Word, Excel, PowerPoint, and Outlook
• Excellent problem-solving skills that demonstrate an ability to anticipate potential issues and make suggestions.
• Strong interpersonal, communication and organizational skills with both fellow colleagues and patients.
• Ability to remain focused and prioritize tasks in a busy and high stress environment.
• Dependability and good attendance.
• Demonstrated commitment and actions in advancing equity, diversity and inclusion objectives.
